We are looking for a meticulous Administrative Assistant to join our team in Covina, California. Responsibilities:

  • Perform general clerical tasks including filing, updating spreadsheets, and data entry.
  • Utilize QuickBooks to manage invoicing, update pricing details, change dates, and ensure accurate recordkeeping.
  • Provide receptionist support by answering inbound calls and directing inquiries appropriately.
  • Process purchase orders and enter invoices into the system with a high degree of accuracy.
  • Maintain organized records and ensure timely updates to administrative documents.
  • Collaborate with team members to streamline office operations and improve efficiency.
  • Assist in creating and maintaining detailed reports as needed.

Requirements:

  • Minimum of 2 years of experience in an office administration role.
  • Proficiency in QuickBooks for invoicing and data management.
  • Strong technical aptitude and ability to quickly learn new systems and software.
  • Excellent organizational skills and attention to detail.
  • Effective communication skills for interacting with team members and handling inbound calls.
  • Proven ability to manage multiple tasks and prioritize effectively.
  • Familiarity with 10-key data entry and purchase order processing.
  • Demonstrated ability to work both independently and collaboratively in a fast-paced environment.
