We are looking for a meticulous Administrative Assistant to join our team in Covina, California. This is a Contract to Permanent position, offering an excellent opportunity to showcase your organizational skills and contribute to a dynamic work environment. The ideal candidate will bring a strong background in office administration and QuickBooks expertise to support a variety of clerical and administrative tasks.
Responsibilities:
- Perform general clerical tasks including filing, updating spreadsheets, and data entry.
- Utilize QuickBooks to manage invoicing, update pricing details, change dates, and ensure accurate recordkeeping.
- Provide receptionist support by answering inbound calls and directing inquiries appropriately.
- Process purchase orders and enter invoices into the system with a high degree of accuracy.
- Maintain organized records and ensure timely updates to administrative documents.
- Collaborate with team members to streamline office operations and improve efficiency.
- Assist in creating and maintaining detailed reports as needed.
Requirements:
- Minimum of 2 years of experience in an office administration role.
- Proficiency in QuickBooks for invoicing and data management.
- Strong technical aptitude and ability to quickly learn new systems and software.
- Excellent organizational skills and attention to detail.
- Effective communication skills for interacting with team members and handling inbound calls.
- Proven ability to manage multiple tasks and prioritize effectively.
- Familiarity with 10-key data entry and purchase order processing.
- Demonstrated ability to work both independently and collaboratively in a fast-paced environment.
