Purpose and Scope:
The Executive Assistant must possess a "make it happen" attitude and enjoy working within a one-of-a-kind, world-class golf destination that is mission-driven, results-driven, and extremely fast-paced. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Essential Functions:
Completes a broad variety of operational tasks for the General Manager, including managing an extremely active calendar of appointments, composing and preparing correspondences that are sometimes confidential, arranging complex and detailed travel plans, itineraries, and agendas.
Communicates directly and on behalf of the GM, with associates, guests, and others, utilizing discretion and maintaining confidentiality.
Research, prioritize, and follow up on incoming issues and concerns addressed to the GM, including sensitive or confidential ones, and determine the appropriate course of action, referral, or response.
Provides a bridge for smooth communication between the GM's office and internal departments, demonstrating the ability to maintain credibility, trust, and support.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting personal correspondence, emails, and other tasks that facilitate the GM's ability to effectively lead the company.
Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows through on projects to successful completion, often with strict deadline pressures.
Provides assistance to GM, Accounting, Engineering, Human Resources, and Operations with scheduling, correspondence, and other tasks as requested.
Ensures all guest correspondence is dealt with accurately, in a timely, and professional manner.
Ensures period end reports, memos, proposals, etc., are typed, completed, and sent to KemperSports and ownership promptly.
Log, copy, and distribute all checks received in the hotel for advance deposits and accounts receivable.
Distribute all incoming mail.
Order office supplies for the hotel weekly (including supplies for the copy machine, laser printer, computers, and fax).
Manage and communicate the administrative aspect of the Guest Satisfaction Surveys.
Maintains discretion and confidentiality in all relationships.
Non-Essential Functions: Responsible for the cleanliness and neatness of the executive office.
Place maintenance calls on office equipment.
Take initial calls for special room requests, i.e., employee rates, comp rooms, trade-outs, etc.
Knowledge and Skills:
Education: Some college, advanced course, or comparable employment experience
Experience: 2 to 4 years of experience supporting Executives
Skills and Abilities: Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Very strong interpersonal skills and the ability to build relationships with associates, guests, partners, and vendors. Expert-level written and verbal communication skills. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment. Proficient in Microsoft Office (Outlook, Word, Excel, Teams, and PowerPoint), and Adobe Acrobat. Ability to work under minimal direction.
