As an Administrative Assistant for Fieldstone A&E, youll be working alongside our dedicated team of client managers, architects, engineers and designers. The candidate were looking for has an exceptional ability to focus in a bustling team environment, utilize strong time management skills, while occasionally tending to multiple projects at once, ensuring they are of the highest quality once completed. The Administrative Assistant will perform general clerical duties in accordance with established procedures. In this position the administrative assistant would support the Production team, SWAT Team, as well as the Operations Team as needed.

General Duties and Responsibilities

The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

  • Expedite signed and sealed lot specific plans to client following the release procedures provided by each client.
  • Expedite complete and sealed repair letters to client following the release procedures provided by each client.
  • Assist with folder setup for tickets received.
  • Complete reseal requests made by the client.
  • Complete travel arrangements for team members as requested.
  • Supports FAE management as needed.
  • Manage employee travel requests/arrangements.
  • Performs special projects and other reasonably related business duties asrequested and delegated.

Required Skills

  • Ability to effectively meet deadlines.
  • Ability to operate a multi-line phone system.
  • Excellent verbal communication.
  • Excellent customer service and teamwork skills.
  • Ability to multitask.
  • Computer experience in Word, Excel, and Outlook.
  • Comfortable and confident when interacting with executives and staff of all levels.
  • Ability to handle sensitive correspondence regularly.
  • Demonstrated ability to excel in a fast-paced environment.
  • Excellent attention to detail.

Required Experience

  • Three years related experience in administrative in fast-paced environment.
  • Microsoft Office skills.
