OVERVIEW The Administrative Assistant will support and assist the Foundation team to ensure the efficient and smooth day-to-day operations of the office. This seasonal position is part-time (20 hours a week) and reports to the Foundation Office Manager. This is an on-site position and is not eligible for hybrid/remote work. Essential functions and core responsibilities include but are not limited to:
DUTIES & RESPONSIBILITIES • Provides phone reception coverage for the office. • Receives and distributes incoming mail and packages. • Coordinates and schedules meetings, campus tours, and other events. • Enters data and updates information in the Foundation database. • Drafts and mails letters and other correspondence. • Carries out administrative tasks such as filing, copying, scanning, etc. • Works on special projects and other assignments as directed.
QUALIFICATIONS • Three (3) years of administrative experience or a similar role. • Strong data entry skills with a high level of accuracy. • Proficient in Microsoft Office; specifically, Word, Excel, and Outlook. • Excellent time management and organizational skills. • Detail-oriented, with strong grammar and writing skills. • Comfortable multitasking, while being flexible to changing priorities and demands. • Ability to work independently with problem solving skills. • High level of professionalism and the ability to work collegially with staff across departments. • Able to maintain confidentiality and discretion at all times. • Strong work ethic
