Job Description
SCOPE:
Assist Lewis Center Annex Program Director with projects necessary to meet the terms and conditions of program contract, assist with coordinating facilities, assist with day-to-day operations. Prepare and submit billing for Lewis Center Annex. Provide administrative support to contribute to the smooth functioning of the Lewis Center Annex. Contributes to the mission of Goodwill by maximizing the opportunities for persons with disabilities to be more independent, while complying with all company policies and procedures and ensuring that records are accurately recorded and maintained, working within the limits of prescribed routines.
ESSENTIAL FUNCTIONS:
- Prepare and submit Creating Choices documentation to assist guests with first, last, security; ensure all data entered into HMIS System
- Prepare the monthly billing for Lewis Center Annex by the 1st of each month
- Train staff to submit appropriate documentation for POS, Billing
- Perform assigned duties as the Safety Liaison for the Lewis Center Annex.
- Support Lewis Center Annex leadership with gathering and preparation of data necessary for program audits, or administrative assignments and special projects as requested.
- Manage the Lewis Center file archive and the file retrieval and annual purging process.
- Maintain and update agency phone list, including faxes and phone numbers for all locations. Distribute to all staff via email and post in the I drive for Annex use.
- Coordinate repairs with County Facilities department
- Provide daily and fill-in back-up for the reception desk; answering and transferring calls, greeting and directing guests, processing mail, logging checks, and other front desk responsibilities.
- Submission of billing into the SAMIS portal. Ensures billing and coordinating invoice and that it is accurately reflected the first time submitted.
- Collects quality assurance surveys from Director on a monthly basis.
- Compiles the data obtained from surveys by department and prepares quarterly reports for each Director.
- Assist Director with completion of monthly supervisory and/or peer chart audits. Submits chart audit summaries and tracks on GGI R drive.
- Attend staff meeting, taking notes and distributing the completed notes to all attendees.
- Provide assistance with other general departmental activities, to assist with special projects and other duties as necessary.

- Maintain safe work area and comply with safety procedures and equipment operating rules, keeping work area in a clean and orderly condition.
- Participate in any variety of meetings and task force groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, and policies.
KNOWLEDGE AND SKILLS:
- Associate’s Degree in Human Services, Business Administration or related field preferred. Relevant work experience may be substituted on a year for year basis in lieu of degree.
- High level of proficiency in Microsoft Office Suite (Word, Excel, Power Point).
- Well-developed organizational, communication and writing skills.
- Ability to manage multiple tasks simultaneously; be detail-oriented, and possess time- management skills.
- Confidential, organized, analytical and detail-oriented.
- Ability to establish and maintain rapport with external and internal customers.
- Must have a valid Florida driver’s license, valid insurance, reliable transportation for travel to outlying locations and the ability to be insured under the company’s vehicle insurance policy.
PHYSICAL REQUIREMENTS:
- General office environment
- Regular pushing, pulling, stretching, reaching, kneeling stooping and bending
- Occasional lifting and/or carrying up to 30 lbs.
- Prolonged periods of sitting, working at computer terminal
- May spend prolonged periods of time on the phone
TOOLS AND EQUIPMENT USED:
