Provide administrative and technical support to the SVP of Manufacturing and VP of Engineering, as well as various members of the SC Leadership team and Global Engineering team. Performs complex, advanced, diversified, and confidential administrative and coordination duties. Schedules appointments and arranges meetings, conferences, and travel. Organizes and maintains correspondence and projects, organizes and prepares departmental onboarding for new hires, following up on pending matters with limited direction. May need to establish new procedures for specific work/projects. Prepares special reports and correspondence, summarizing and analyzing data. Communicate with individuals at all levels in the organization, industry, and community. Operates a personal computer and appropriate software. Assignments are broad in nature and usually require originality and ingenuity.
Ensure invoices, entry/enrollment fees, supplies, and other credit card purchases are allocated to the appropriate cost center and budget line item. Facilitate additions and updates of vendors/suppliers' access in Workday. Create Purchase Requisitions for Purchase Orders (POs), matching expenses with the appropriate cost center and budget line item. Arrange domestic and international travel, paying attention to travel restrictions, and Visa/Passport requirements. Assist with monthly budget forecast for multiple cost centers, provide recommendations to management, and update in SAP. Schedule meetings and make extensive arrangements for onsite and offsite meetings, farm tours, and other functions both domestic and international, including meeting space reservations, meal/refreshments, audio/visual equipment availability and support, and transportation. Anticipate annual travel needs, making reservations for hotels/flights/vehicles/entry fees in advance. Coordinate and maintain control of multiple fleet vehicles assigned to Global Engineering. Purchase refreshments for meetings, transport them to the meeting location, and set them up. Room reconfiguration changes to meet meeting needs. Create/edit PowerPoint presentations/meeting materials on behalf of management. Take detailed notes in weekly meetings. Maintain SharePoint access. SCE leadership calendar management, schedule meetings, travel coordination (both domestic and international), processing of expense reports and invoices, and various other administrative duties, all with a sense of urgency and confidentiality. Support department document retention process and systems. Leads SCE Organizational activities, celebrations, employee recognitions, retirements, etc. Assists in drafting, proofing, and editing various communications. Communicates in a highly professional manner with individuals at all levels in the organization, industry, and community. Provides general office support for SCE Leadership, including ensuring efficient and professional operation of the office, while exercising discretion and diplomacy at all times. Provides backup support to the executive assistant as needed. Special projects as assigned.
Education/Certifications: High School Diploma required. Associate or Bachelors degree in business or related field preferred. Skills and Experience: 4 years of related administrative experience, supporting multiple leaders. Demonstrated ability to produce quality, timely, and accurate work under short time constraints. Initiative and problem-solving skills. Ability to work in a fast-paced team environment and demonstrate a high degree of tact, discretion, flexibility, diplomacy, and confidentiality. Must be able to handle confidential company information and data requiring the highest degree of attention to preserve confidentiality. Excellent interpersonal and communication skills (builds relationships). Strong attention to detail. Time management, organization, and prioritization abilities required, including the ability to manage multiple priorities with limited direction. Flexibility, willingness, and ability to respond to changing circumstances and expectations readily. Strong working knowledge of Microsoft Outlook, SharePoint, Word, PowerPoint, and Excel. Physical Environment/Demands: Most work is performed in a temperature-controlled office environment. Incumbent may sit for long periods at the desk or computer terminal. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Incumbent may use calculators, keyboards, telephones, and other office equipment in the course of a regular workday. Stooping, bending, twisting, and reaching may be required in the completion of job duties.
