Senior Executive Administrative Assistant

Job Title

Responsible for all administrative functions supporting Sr. Leadership including coordination of site initiatives or visits, answering phones, calendar management, scheduling travel, managing correspondence, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, managing incoming communications and prioritizing daily activities to ensure optimal time management.

Responsibilities:

  • Provides general administrative support, prepare agendas, take minutes, track actions items for meetings.
  • Responsible for compliance with applicable Corporate and Divisional Policies and procedures.
  • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, etc.
  • Interacts with high-level executives and handles confidential or business-sensitive information and may provide back up support to higher-level management as needed.
  • Support tracking budget expenditures.
  • Site support and ordering of supplies, materials, etc., as needed.
  • Coordinates new employee office set-ups and onboarding.
  • May train/coordinate work for new administrative assistants.
  • Operates with general instruction and some supervision.
  • Laise with internal and external stakeholders on behalf of Sr. Leader.
  • Assist in tracking projects and deadlines and coordinates cross-functional meetings.

Qualifications:

  • High School diploma or equivalent. Some college or continued education preferred.
  • 5+ years of progressively responsible administrative support, with at least 3+ years supporting executives or senior leadership.
  • Experience in a fast-paced, high-stakes environment with proven success supporting multiple stakeholders
  • Basic to intermediate knowledge of Microsoft Office Suite and tools like SharePoint, Teams, Concur, SAP.
