Under the general supervision of the Director of Brand, Advertising & Merchandising, the Pricebook Specialist plays a key role in managing and optimizing the pricing, product assortment, and data accuracy for all items sold across convenience store locations. This position ensures that product setups, pricing, promotions, and vendor integrations are correctly executed within the Pricebook POS and back-office systems. Working closely with marketing, operations, vendors, and leadership, this role supports profitability, compliance, and customer satisfaction through strong pricing and merchandising controls.
The Pricebook Specialist supports the marketing department in maintaining category strategies through proper execution and setup of the Pricebook database. Through Pricebook data integrity, this position also supports store level merchandising and operations including proper ordering, receiving, and selling.
ESSENTIAL FUNCTIONS
Primary Responsibility:
1. Pricebook Management - 70% Responsible for day-to-day management to ensure timely and accurate vendor and item set up, maintenance and data integrity of the company's Pricebook database Build and maintain item master files (SKUs, pricing, categories, vendor details) Ensure all price changes, new item setups, and product removals are accurate and timely Monitor pricing compliance across all store locations Coordinate with accounting to ensure tax rates and vendor costs are correctly applied Troubleshoot / monitor issues such as: non-scanning items, pricing discrepancies, vendor rebates, unauthorized items / suppliers, and other Pricebook related issues Manage daily Pricebook and invoice exceptions ensuring timely resolution Maintain appropriate issues tracking logs and documentation to ensure effective service level Stay up-to-date on Pricebook features, updates, and training to ensure our efficient use of Pricebook Collaborate with the Category Manager to ensure prompt and accurate PDI Pricebook entries and updates Work with the PDI Support team to ensure proper reporting of tobacco sales for rebates and work with accounting team and PDI Support to ensure rebate management for all products is properly executed Accountability for Pricebook analysis to support all categories Communicate item setup, promotions, and retail changes to sites in a timely manner Work with IT / Fuel Technicians to ensure proper programming of POS Secondary Responsibility:
2. Merchandising & Promotions - 15% Work closely with the Director of Brand, Advertising, & Merchandising and Category Manager to develop and execute overall merchandising/marketing strategies through proper setup of Pricebook Document Pricebook policies and procedures to ensure consistent implementation across the IES stations Assist in planning and executing promotional pricing strategies and ensure data integrity of promotions in Pricebook Generate regular Pricebook reports for item set up, margins and exceptions, to identify trends, opportunities, and issues Flag anomalies or inconsistencies in pricing, sales, or product movement Support audit processes for vendor billing, UPC accuracy, and compliance 3. Collaboration and Administration - 15% Serve as a point of contact for vendors on item setup and pricing updates Work with store teams to troubleshoot pricing or item issues in the POS Train relevant staff on new item rollouts and promotion updates Support broader business initiatives through cross-functional projects and continuous process improvements Travel as required to support store openings and other company and department initiatives Perform other administrative duties and responsibilities as assigned OTHER DUTIES:
Champions safety, reliability and incident and injury free operations. Maintains commitment to a high standard of safety, complies with all safety laws and IES safety policies/rules, and reports actual and potential safety violations to appropriate management personnel. Reports any unsafe or hazardous condition and initiates corrective action. Collaborates with other Operations team members, Business Consultants and Business Development staff to ensure business results are delivered on time, within budget and with a high degree of quality. Works effectively with coworkers and others by sharing ideas in a constructive, positive manner, listening to and objectively considering ideas and suggestions from others, keeping commitments, keeping others informed of work progress and issues, addressing problems and issues constructively to find mutually acceptable and practical solutions, and respecting the diversity of the IES workforce in actions, words, and deeds. Drives a high degree of excellence by proactive initiative to update and maintain operating standards, emergency procedures and any other documents as needed. Leads and manages a variety of special assignments in areas as well as other duties as assigned.
MINIMUM QUALIFICATIONS:
Education and Experience Bachelor's or Associate's degree in marketing or business, or equivalent experience Minimum 3 years or experience with Pricebook or related experience Equivalent combination of education and/or experience may be substituted for degree Broad experience and understanding of pricebook management, category management and store level merchandising processes and systems, preferably in the Convenience Retail vertical Skills Skilled in POS and Pricebook systems, preferably PDI and Passport, and proficient in Microsoft Office Suite Data Accuracy & Integrity - Detail-oriented with strong commitment to clean, error-free data Ability to analyze product performance, pricing trends, and margin impacts Cross-Functional Collaboration - Able to work with operations, vendors, and finance teams effectively Promotions & Pricing Strategy - Experience executing and tracking promotional campaigns Time Management - Can manage multiple priorities while meeting deadlines in a fast-paced environment Detail-oriented and able to accurately manage the data in the Pricebook system, identify issues, and handle anomalies Problem Solving - Strong troubleshooting skills, especially when dealing with pricing discrepancies or system issues Working knowledge of retail operations and convenience store merchandising and marketing Clear written and verbal communication skills for documentation and team updates Strong organizational skills with the ability to manage multiple priorities, projects, and tasks Must be able to adapt quickly to change management and technology Work collaboratively and effectively as a team member Additional Requirements Valid driver's license and reliable personal vehicle required. Comfortable with regular travel to store locations on- and off-island in support of department activities, and a flexible work environment. Working knowledge of retail operations, convenience store dynamics, merchandising, and marketing. Excellent planning, organizational, project management, and communication skills. Demonstrated ability to work cross-functionally and manage multiple priorities. Proficient in Microsoft Office Suite; knowledge of PDI, Nielsen, IRI or similar tools a plus.
Preferred Qualifications Retail Industry Background. Overall Knowledge of Retail Store Operations and Merchandising Is Desirable. Project Management Experience Is Desirable. Other Requirements This position is located on the island of Oahu and requires frequent travel. Willingness to commit to The Island Way (IES core values of): Kīnā'ole, Aloha, Lōkahi and Ho'ohana. Pass background check including periodic job-related physical abilities testing as required. Must be able to obtain a Transportation Worker Identification Card (TWIC) within sixty days of hire. This is a safety sensitive position and random drug testing is required. Valid driver's license with clean abstract.
