Biovation Labs is looking for a Retail Fulfillment Operations Manager to join our team. The Retail Fulfillment Operations Manager is the primary person responsible for ensuring that retail orders are received, managed, and shipped properly to wholesale and retail partners. This position is responsible for oversight of all operational and production tasks required to complete timely delivery of inventory to retail and wholesale partners and is responsible for ensuring compliance with all shipping guidelines. This role oversees the administrative and operational efforts while managing the execution of all related functions and tasks.
Job Duties & Responsibilities:
- Responsible for all aspects of leadership, business development, business management, and improvement of the retail fulfillment operation.
- Review and analyze the workflow of scheduled shipments, remove obstacles to ensure commitments are kept, issues are addressed, operational goals are met, and continuous improvements are made to the processes and operations.
- Lead retail fulfillment staff in setting and achieving goals and objectives. Help build an effective team by creating goals and providing development plans for self and direct reports.
- Create, implement and train on all relevant SOP’s to ensure consistency in the operation’s work and activities.
- Foster a highly focused safety culture that is compliant with federal and state regulations, company policies, procedures and cGMP regulations and encourages that by maintaining a safe and secure work environment.
- Monitor the customer service aspects of business; providing support and resolutions to ensure customer satisfaction and retention. Contribute to the continued development and active management of our shipping partners’ platforms executing against key activities and joint shipping initiatives.
- Identify, define and implement strategies to facilitate future growth, lower shipping costs and improve customer experience. Find and develop new partnership opportunities based on strategic objectives. Develop required business relationships and establish a track record of operational success.
- Make recommendations to maintain labor costs, improve productivity, develop modifications to procedures and processes impacting the work group, maximize efficiency, productivity, and reduce costs that will enable the facility to meet and exceed business goals, while maintaining cost-efficiency.
- Responsible for assisting in hiring, training, and developing of all new and existing retail fulfillment employees.
- Manages all incoming orders and works with the Enterprise Retail Sales team to ensure orders are processed correctly.
- Works with warehouse manager to ensure inventory accuracy meets operational targets. Contributes to inventory accuracy by supporting cycle count process as well as the monitoring of all processes that require inventory movement.
- Works with the Manufacturing Operations and the Supply Chain teams to make sure the required inventory is available and released so it can be processed and delivered on time.
- Ensures all shipment are processed compliant with existing vendor shipping guidelines, contractual requirements and keeps up to date with changing wholesaler or retailer requirements.
- Works with the Enterprise Retails Sales team to reduce/eliminate fines imposed by retail/wholesale partners. This includes working with the team to investigate fines, provide substantiation that proves imposed fines have been applied improperly, while also working with the production team to refine processes where required to eliminate future fines where they are applied for actual errors.
- Manages and processes all advanced shipment notices (ASNs) and ensures they are processed on time, and in accordance with shipping guidelines and/or contractual requirements.
- Works with the Retail Order Fulfillment team to ensure there is proper staffing to handle incoming retail order fulfillment activities and works to make sure there is a published schedule available so that the team knows what the daily/weekly/monthly objectives are.
Job Requirements:
- Wholesale and retail fulfillment and distribution experience.
- 3+ years management experience in a metrics driven environment.
- Ability to handle multiple changing priorities and use good judgement in stressful situations.
- Strong communication, customer service, and interpersonal skills.
- Ability to get along with others and work in a team environment.
- Solid reasoning, analytical, problem solving, and time management skills are essential.
- Must be organized, detail oriented, able to multi-task and work well under pressure.
- Must have proficient computer skills including MS Office Suite (Word, Excel, Outlook), and shipping/receiving software.
- Physical requirements may include: standing for long periods of time, bending, lifting up to 50 lbs.
