Retail Operations Coordinator Maintain current filing systems and prepare annual filing structures. Monitor and ensure timely submission of store paperwork. Sort and organize crates for all stores; manage multiple operational processes in support of multiple teams. Validate invoices in PDI and Teams to identify missing entries for Pricebook. Run reports, sort, scan, and attach House account documentation. Maintain and update vendor billing spreadsheets. Complete weekly reporting and prepare monthly mailing packets. Collaborate with Retail Team to pull invoices for weekly check runs and EFT processing. Process daily incoming and outgoing mail. Attach copies of checks to bills paid with AP Remittance Advice and file accordingly. Track and resolve missing invoices using Teams and Pricebook. Generate and distribute convenience store Penny Safe Drop reports. Manage recycling and weekly crate setup. Monitor and update the Master Chillbox List. Greet visitors at the front desk and provide backup support to the Administrative Assistant. Answer incoming phone calls professionally and efficiently. Prepare weekly Excel reports for Air Machines and coin drop tracking. Track and document fuel pump tests. Assist with special projects and daily operational tasks. Communicate effectively with Regional and Store Managers on a daily basis. Qualifications: Extremely high organizational and time management skills with the ability to prioritize and multitask at a fast pace under deadlines. Strong attention to detail with the ability to identify billing discrepancies, proactively raise concerns, and propose effective solutions Knowledge of accounting software a plus. Self-disciplined and capable of working independently at all times. Strong work ethic and commitment to excellence. Ability to maintain confidentiality and handle sensitive information with discretion. Proactive and takes initiative to solve problems and improve processes. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite. Experience with invoice processing and administrative coordination preferred. Comfortable working in a dynamic, fast-paced environment, working with all levels of leadership. Outstanding attendance record and ability to work in-office five days a week. Preferred Experience: 2+ years in an administrative, operations, or accounting support role. Familiarity with retail operations and vendor management. Experience using systems like PDI, Teams, and Pricebook is a plus.
