We seek a Project Manager with proven experience in advertising agencies, specifically in film production. At Culture ONE World, our project managers lead flight control to complete our work on time, within budget, and within scope. Our Project Managers are the hub that drives all work through our processes. The Project Management team sets the bar for problem-solving and decisiveness across the agency team and functional groups to effectively lead the team to the best outcome for our clients. This position is unique because it also actively manages our film production division as an agency producer. Location And Reporting Relationship: We currently work in a hybrid environment, spending a couple of days a week in the downtown office at 15th St NW and L St NW, and working remotely the rest of the week. Responsibilities: Interact directly with Agency clients and Agency partner account teams. Act as a link between all internal Agency divisions (accounts, creative, production media, etc.) and external vendors (production companies, freelancers, etc.) to ensure the development and delivery of campaign assets on time and within budget. Responsible for directing tasks and team members producing content and advertising campaigns. Assist in the production process through: Vendor Management: Selecting, negotiating with, and managing relationships with external vendors like production companies, directors, photographers, and post-production teams. Client Communication: Keeping clients informed of project progress, managing expectations, and addressing any concerns. Team Collaboration: Working closely with internal teams like creatives, account managers, and project managers. Pre-Production, Production, and Post-Production: Overseeing all stages of production, from initial concept to final delivery. Budget and Schedule Management: Developing and managing project budgets and trackers, ensuring they are adhered to, and making adjustments as needed. Coordinate activities needed in preparing ads and content, supervising staff throughout the production of materials, examining scripts, layout proofs, and storyboards, determining items to edit as necessary, and preparing for client delivery for approval, production, and final delivery. Traffic final ads for placement with paid media department Prepare production estimates and timelines. Oversee quality control. Follow up with outside vendors to ensure they meet promised delivery dates and product quality. Check invoices and reconcile them against estimates and the work delivered. Create and update a weekly production status report. Create and update timelines for all creative and production projects in Asana Review daily work schedule with creative & production departments and expedite all “crisis jobs.” Qualifications: Approximately 2+ years of project management experience in an advertising agency or film production company High self-confidence and not afraid to be a project management leader in the room. Ability to focus under pressure, be thorough, and keep a positive attitude. Ability to think outside the box and understand the outcome, not just the process. Extremely high standards for work and behavior; accountable, reliable, and dependable. Acute attention to detail and accuracy. Exceptional written and verbal communication skills; ability to break down complex information. Proficient in project scoping, project planning, resource management, timeline creation, budget, and risk management. Experience managing multiple large-scale projects simultaneously with various disciplines and stakeholders, including multi-agency teams. Ability to interact with and represent the team to various people, including clients, from entry-level to upper management and Leadership. Able to establish leadership on projects with internal stakeholders and clients. They are easily recognized as someone who can answer questions on projects, processes, and everyday activities around the team and client. Gains trust to build productive and constructive relationships. Encourage an environment of teamwork and excellence. Ability to work independently to tackle problems and direct to solutions. Be highly adaptable, able to anticipate issues and needs before they arise, and take the necessary steps to alleviate and mitigate. Leverage project management tools to manage day-to-day operations, automate tasks, ensure quality, and promote process efficiencies. Knowledge and experience with Asana, Google Suite, Monday.com, Box.com, and Slack. Solid track record of successfully leading projects from initiation to completion on time, on budget, and within scope, including resource management across disciplines.
