About the Position

The People & Culture Administrative Assistant provides essential administrative support to foster an inclusive and equitable learning environment at the Salt Lake City Public Library (SLCPL). This position supports the Organizational Learning Director by coordinating logistics, tracking participation, and facilitating the delivery of training and development programs that empower all employees and volunteers, while actively contributing to the Library's commitment to equity and belonging.

Specialized Focus Area: Internal Skill Development

This role focuses on the operational aspects of in-house training programs, providing administrative support for program delivery, managing logistics, tracking participation data, and ensuring smooth facilitation of workshops and training sessions. The position supports the implementation of training initiatives while maintaining organized records and coordinating resources.


Primary Responsibilities:

Training Program Coordination & Support

  • Schedule and coordinate logistics for workshops, conferences, and staff training sessions, ensuring equitable access and removing barriers to participation
  • Manage enrollment processes, track attendance, and maintain accurate participation records
  • Prepare training rooms, materials, and technology setups for in-person and virtual sessions
  • Coordinate with internal facilitators and external vendors to ensure smooth program delivery
  • Support the maintenance and organization of training materials and resources

Administrative Operations & Data Management

  • Maintain accurate training records in Bamboo HR and other systems, tracking completion rates and participation trends
  • Process training registrations, cancellations, and schedule changes efficiently
  • Generate reports on training participation, identifying patterns and potential access barriers
  • Update and organize training calendars, ensuring accurate communication of schedules to staff
  • Manage training supply inventory and coordinate procurement as needed

Learning Management System Support

  • Assist with the administration of the learning management system, including user enrollment and progress tracking
  • Help maintain current and accessible digital training content and resources
  • Support technical troubleshooting for staff accessing online training platforms
  • Coordinate with IT support for technical issues related to training delivery

Event Facilitation & Logistics

  • Provide on-site support during training sessions, managing check-ins, materials distribution, and room logistics
  • Assist with the coordination of Staff Development Day activities and logistics
  • Support both in-person and virtual training delivery, ensuring inclusive and welcoming environments
  • Coordinate catering, parking, accessibility accommodations, and other logistical needs

Communication & Vendor Coordination

  • Communicate training schedules, updates, and reminders to library staff through various channels
  • Assist with coordinating external trainers and vendors, managing contracts and logistics
  • Support cross-departmental communication regarding training initiatives and requirements
  • Help maintain training-related policies and procedures documentation

Program Evaluation Support

  • Distribute and collect training evaluation surveys and feedback forms
  • Compile basic data analysis on training effectiveness and participation rates
  • Support the assessment of training programs by organizing feedback and tracking metrics
  • Help identify trends in training data to inform program improvements

General Administrative Support

  • Provide general administrative assistance to the Organizational Learning Director
  • Support special projects related to organizational culture and employee engagement
  • Work within established budgets for training programs and vendor relationships
  • Contribute to maintaining a positive, inclusive work environment

Minimum Qualifications

  • Completion of a Bachelor's Degree
  • Excellent written and verbal communication skills and ability to work effectively with diverse teams
  • Strong organizational skills with attention to detail and ability to manage multiple priorities
  • Intermediate knowledge of computer operations and standard office software
  • Ability to work days, and occasionally nights or weekends as scheduled
  • If travel is required for library purposes, must have transportation. If using a personal vehicle, must maintain state required insurance
  • Demonstrated customer service skills and ability to work collaboratively
  • Experience with data entry, record-keeping, and basic administrative tasks
  • Strong active listening skills and professional demeanor when interacting with staff and vendors

Preferred Qualifications

  • Experience with learning management systems or training administration
  • Experience with library operations, programs, and services
  • Advanced knowledge of Google Apps for Work and Microsoft Office Suite
  • Experience with event planning and logistics coordination
  • Experience with data analysis and report generation
  • Spanish language and/or other non-English language skills

Working Environment

Work is performed in a busy, urban public library environment. Subject to repetitive movement. May be subject to standing or sitting for extended periods of time.

Schedule

Full-time, 40 hours per week. Schedule is typically Monday - Friday, 9am to 6pm, with flexibility to provide services during the evenings or on weekends.

Other Information

Completion of criminal background check will be required if the candidate is over eighteen (18) years of age.
