Job Description: We are seeking a part-time Office Administrator to assist with various administrative tasks. The ideal candidate will be detail-oriented, proactive, and able to work independently. This is an in office position at our Debary office.

Responsibilities:

Client Management and Support

  • Accounts payable and receivables. Make deposits and post payments.
  • Invoice clients
  • Managing and organizing files and documents
  • Assisting with data entry and record keeping
  • Scheduling appointments and meetings
  • Input customer applications into AMS from the carrier rating applications.
  • Assemble application(s), photos, appraisals, etc. to be submitted to the insurance carriers for policy issuance.
  • Check new and renewal policies for accuracy in rating, typing, and coverages.
  • Monitor the renewal process.
  • Maintain a suspense system to follow up on outstanding orders, correspondence, reports, and follow up on overdue items.
  • Attach and file in AMS.
  • Update AMS for cancellations, reinstatements. Send out form letters to clients on final cancellations. Input past due notices into activities.
  • Providing general administrative support to the team

Requirements:

  • High school diploma or equivalent
  • Previous office or administrative experience preferred
  • Must have accounts payable and receivable experience
  • Must have invoicing experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Teams)
  • Excellent organizational and time management skills
  • Strong communication and interpersonal skills
  • Ability to work independently and as part of a team
