Part-time Business Development Assistant (Rental Events)

POSITION SUMMARY:
The part-time Business Development Assistant is responsible for providing administrative and logistical support to the Vice President of Business Development and the Director of Business Development in the booking and management of third-party rental events at the New World Center (NWC). The Assistant will be involved in all stages of the event rental process, from initial inquiry and client communication to on-site event support, ensuring a high level of client satisfaction and contributing to the department's overall success.
DUTIES AND RESPONSIBILITIES
Serve as a first point of contact for new rental inquiries, responding to emails and phone calls in a timely and professional manner
Help conduct initial screenings of prospective events to determine feasibility
Assist departmental colleagues in responding to requests for information from prospective clients
Update and distribute weekly status reports on event inquiries
Track checklist of client-required documentation and payment, and assist with follow-up as needed
Assist the Director in the compilation and review of monthly reports
Assist in the coordination of client site visits
Coordinate staff meals on event days as needed
Provide on-site support during client events as needed and as schedule permits
Perform other job-related duties as assigned
Qualifications
EDUCATION AND EXPERIENCE
High School Degree or GED and a minimum of one to two years of experience in an administrative, customer service, or event-related role; and equivalent combination of education and experience may be considered
KNOWLEDGE, SKILLS, AND ABILITIES
Exceptional organizational skills and meticulous attention to detail
Strong written and verbal communication skills
Fluency in English required; fluency in Spanish desired
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM or event management software is a plus
Ability to work effectively in a fast-paced environment and manage multiple projects simultaneously
A proactive, problem-solving attitude and a strong commitment to providing excellent customer service

PHYSICAL REQUIREMENTS
Ability to work in-person at the NWC for some meetings and events
Ability to work a flexible schedule of approximately 20 hours per week, including evenings and weekends, as required by event schedules
