SUMMARY

The Exploratorium Teaching & Learning Department works to impact science teaching and learning in formal and informal systems by investing in the development, iteration, and articulation of innovative, transformative teaching and learning experiences and in direct service to pK-12 teachers, leaders, and education systems. We continue to deepen our focus on the San Francisco Bay Area and California contexts, and prioritize the specific needs of critical, undersupported groups of teachers, leaders, and learners.

 

The Administrative Assistant is responsible for the general administrative support for the Teaching & Learning Department. It requires a highly organized person with excellent oral and written skills, the ability to prioritize multiple tasks, and to work independently. This position reports to the Senior Program Manager.

 

 

ESSENTIAL FUNCTIONS

  • Provide general clerical and administrative assistance, including ordering supplies for programs and workshops
  • Perform basic invoice and credit card reconciliation
  • Prepare department check and reimbursement requests
  • Clerical support in contract administration
  • Support participant database maintenance, including data input and deduplication 
  • Assist in organizing and maintaining program files
  • Assist with various Teaching & Learning Department reports
  • Perform additional administrative duties as assigned

 

 

MINIMUM QUALIFICATIONS

  • High School Diploma or GED certificate
  • Demonstrable computer skills and familiarity with Google Suite and Microsoft Office programs, especially Word and Excel; experience with Salesforce a plus
  • Demonstrated ability to set up and maintain administrative systems
  • Highly organized and detail-oriented; able to prioritize work
  • Must have excellent accuracy in data input, filing, etc.
  • Excellent written and verbal communication skills
  • Able to prioritize multiple tasks around regular deadlines
  • Able to work effectively in a fast-paced and chaotic environment
  • Tactful and diplomatic in dealing with people
  • Must maintain confidentiality within and outside the museum regarding all data and information exposed to through working in this position

 

PREFERRED QUALIFICATIONS

  • Two years’ administrative experience
