Litigation Legal Executive Assistant

This role is with a preeminent global law firm known for its extensive expertise across a wide range of legal practices, serving clients in major business, finance, technology, and government centers worldwide. Their office is based in Midtown Manhattan, and this role is 4 days a week in the office.

Job Description

Provide high-level executive and legal administrative support to 3 Partners and the wider Litigation team

Manage complex calendars, coordinate meetings, and handle domestic and international travel arrangements

Prepare, revise, format, and proofread legal documents, including briefs, motions, correspondence, and discovery materials

E-file court documents in state and federal courts using appropriate e-filing systems

Manage docket/calendar deadlines in coordination with litigation support teams

Maintain and organize case files using document management systems, ideally iManage

Handle time entry, expense reports, and billing tasks in adherence to firm guidelines

Coordinate with internal departments (docketing, court services, billing, etc.) to ensure seamless case support

Provide backup support to other assistants as needed

The Successful Applicant

Minimum 7 years of legal administrative experience, with at least 5 years supporting litigation attorneys

Prior experience at an Am Law 100 or similarly large, fast-paced law firm strongly preferred

Proficiency in iManage, Microsoft Office Suite, and court filing platforms (PACER, NYSCEF, CM/ECF, etc.)

Strong knowledge of litigation processes, document formatting, and court procedures

Exceptional organizational skills and ability to manage multiple deadlines under pressure

High level of discretion and professionalism when handling confidential information

Excellent written and verbal communication skills

Preferred Skills

Familiarity with legal billing software (e.g., Aderant, Elite, or similar)

Ability to work effectively in a team environment and independently with minimal supervision
