Summary:
Offit Kurman is seeking a poised, highly professional Legal Administrative Assistant to support two litigation attorneys in the Trusts & Estates practice in our New York office. The ideal candidate will have exceptional administrative and communication skills, particularly when working with high-net-worth clients and sensitive matters. While prior Trusts & Estates experience is a plus, training will be provided for the right candidate. This role requires expertise in calendar management, travel coordination, and the ability to maintain discretion and professionalism at all times.
Responsibilities:
Manage complex attorney schedules, including arranging court appearances, internal and external meetings, teleconferences, and personal travel logistics.
Draft and prepare legal documents under attorney supervision, ensuring high standards of accuracy and format.
Coordinate new client/matter intake processes, including managing sensitive information with discretion and ensuring all documentation is filed timely and correctly.
Organize and maintain both electronic and physical case files, legal binders, and documentation in a clear and accessible manner throughout the case lifecycle.
File legal documents with courts and agencies as directed, adhering to proper protocols and deadlines.
Act as a primary point of contact for clients, managing communication with the utmost professionalism, care, and discretion, especially during sensitive legal matters.
Handle financial tasks such as processing expense reports, credit card reconciliations, and reimbursement requests accurately and on time.
Assist with case management and trial preparation tasks, including coordinating deadlines and supporting attorney workflows.
Provide backup support to the reception desk to ensure professional coverage and seamless firm operations.
Maintain strict confidentiality of all client and case information in accordance with firm and ethical standards.
Stay up to date on legal procedures and adapt administrative practices to meet current requirements.
Collaborate with attorneys and legal teams to ensure smooth case progression and efficient administrative support.
Perform other administrative duties as required.
Requirements:
Demonstrated ability to anticipate needs, meet deadlines, and maintain detailed organization.
Prior experience with booking travel, managing high-volume attorney calendars, and handling shifting priorities.
Professional demeanor and tact in handling delicate client relationships and high-level matters.
Highly proactive and detail-oriented communication skills, both written and verbal.
Proven track record of excellent client service and the ability to foster strong internal and external relationships.
High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), as well as document management and attorney time entry systems.
Qualifying Experience:
Bachelor’s degree or equivalent experience required.
Minimum 3+ years of administrative experience in a legal or professional services setting.
Experience working with client management systems preferred; Trusts & Estates background is not required, but a willingness to learn is essential.
Physical Requirements and Work Environment:
Prolonged periods of computer use and sitting, along with occasional standing, walking, and lifting up to 15 lbs.
Professional office environment with moderate noise level.
