Legal Administrative Assistant - Bankruptcy

The Tampa office seeks an experienced litigation Legal Administrative Assistant for an extremely busy Bankruptcy Practice Group. Candidate should be highly organized, resourceful, detail oriented, motivated, reliable, proactive and a self-starting individual seeking to challenge him/herself to develop a career in a supportive, team oriented environment
Essential Duties:
- Maintain regular and punctual attendance
- Excellent communication, interpersonal, proofreading, typing and grammatical skills
- Maintaining up-to-date and orderly client files
- Ability to handle large volumes of work in a fast paced environment
- Open, read, route, and distribute incoming mail
- Provide administrative support to attorneys, paralegals, and clients
- Calendar deadlines from various pleadings and orders and assist with the compliance of same
- Proofread documents and correspondence for accuracy
- Coordinate meetings, including conferences calls, hearings, depositions, mediations and rescheduling, when applicable
- Manage attorney contacts and calendar
- Manage attorney inboxes and folders, print or PDF emails, when applicable
- Manage attorney Dropbox folders
- Copying and scanning emails and documents and properly naming in document management system
- Manage attorney phones including incoming calls, messaging and transfers
- Schedule travel and assist with hotel reservations, when applicable
- Process expense reimbursements and check requests
- Work with billing specialist to prepare invoices, create cover letters/emails, and mail when applicable
- Enter time for timekeepers and print reports as requested
- Process the intake of new clients, run conflicts checks and create client files
Education, Experience and Skills Required:
- A minimum of 3 years of Bankruptcy experience is an absolute must!
- A minimum of 3 years of Complex Litigation experience is an absolute must!
- Preference will be given to those who has bankruptcy experience in various states, most specifically, California
- Appellate court experience is a plus
- Dropbox experience is a must!
- Preference will be given to candidates with a Bachelor's Degree
- Proficient knowledge of Microsoft Word 2010, Excel, Outlook 2010, Adobe Acrobat, Elite Time & Billing Software
