Overview
IES Residential is seeking a proactive, detail-oriented Part-Time Administrative Assistant to join our Nashville team immediately. This position supports daily operations and helps maintain a welcoming, efficient office environment. As the first point of contact for visitors and callers, you’ll play a vital role in ensuring smooth communication, scheduling, and administrative workflow.
Key Responsibilities
Front Desk Support
- Answer and route multi-line phone calls professionally.
- Greet visitors and clients with a warm, professional demeanor.
- Maintain a clean and organized front office area.
Clerical & Administrative Duties
- Handle incoming and outgoing mail and packages.
- Maintain both physical and electronic filing systems.
- Manage office supplies and inventory.
- Perform accurate routine data entry.
Communication & Scheduling
- Maintain internal calendars and schedule appointments or meetings.
- Take accurate messages or meeting notes for supervisors and project managers.
Document Handling
- Prepare and edit basic documents, reports, and letters using Microsoft Word and Excel.
- Maintain electronic records and assist with scanning and filing.
Team Support
- Assist field and office personnel with administrative needs.
- Coordinate travel arrangements.
- Order materials and communicate with vendors and subcontractors.
Office Coordination
- Keep common areas stocked and organized.
- Communicate maintenance needs.
- Assist with planning internal events or meetings.
Qualifications
Preferred Qualifications
- Minimum 1 year of administrative or receptionist experience, ideally in a fast-paced setting.
- Bilingual (English/Spanish) is a plus, but not mandatory.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Familiarity with electrical contracting or construction industry is a plus, but not required.
- Experience in a construction or electrical contracting environment preferred (not required).
