Assistant Front Office Manager The Assistant Front Office Manager will assist the Front Office Manager and the Director of Front Office in supervising and training all Front Office associates. This position is largely responsible for coordinating the operations of the Hotel Arista Front Office. The Assistant Front Office Manager is responsible for training and mentoring Front Office associates, maintaining guest service standards, and ensuring effective hospitality practices with the support of the FOM. When department leadership is absent, the AFOM acts as the Manager on Duty (MOD), offering operational support to Housekeeping, Engineering, and select Food & Beverage areas to ensure consistent service, atmosphere, and unified guest experience across departments.
Essential duties & responsibilities:
Ensures Front Office associates adhere to hotel standards during check-ins, check-outs, and other guest interactions.
Completes daily leadership tasks for the Front Office team, ensuring checklists are completed.
Supports Front Office Leadership with training on service excellence, Forbes standards, emergency procedures and other tasks through daily, weekly, and monthly training.
Reviews for upcoming arrivals, ensuring guest preferences are recorded and communicated with relevant departments and VIP status is accurate.
Greets all VIP guests upon arrival.
Responds to emails from guests and colleagues in a timely manner.
Assists department leadership in handling associate performance, including reviews, counseling, and recommendations.
Directly leads the Greeters and Personal Hosts to ensure that all policies and procedures are met.
Assists in training, scheduling, supervising, and developing front office associates.
Assists the FOM and DOF with special projects and assignments.
Assists in planning and executing staff training and meetings.
Resolves guest complaints to the satisfaction of the guest; responds promptly to any guest request for service.
Assists the FOM and DOF in tracking guest service scores and responding to guest concerns and complaints through the use of Revinate.
Assists the FOM and the DOF in writing schedules and monitoring labor in accordance with labor standards and forecasting.
Assigns daily work and projects to associates.
Oversees and participates in guest registration and check-out.
Ensures adherence to procedures for hotel accounting, credit control, handling of financial transactions, securities of monies, guest security and emergency procedures as established.
Acquires and relays information that personalizes the guests' stay.
Models and drives the personalized guest experience programs.
Maintains close and harmonious working relationships with all hotel departments.
Acts as a role model and trainer when it comes to Opera PMS and any other pertinent hotel operational technology.
Transports guests and associates in company vehicles.
Understands applicable emergency and evacuation protocol.
Acts as a role model for the company Forbes initiative by creating training programs for the associates, providing on-the-spot feedback on performance and conducting audits of the team.
Performs related duties as assigned.
Minimum qualifications:
Education: High School diploma or equivalent experience
Experience:
Previous Front Office experience required.
Minimum of two years' experience in the hotel industry in a luxury environment.
Minimum of one year supervisory/and or management experience.
You must be able to work a flexible work schedule as the hours for this position will vary.
Knowledge of PMS (Property Management System) Opera is preferred.
