Job Title: Executive Assistant – Retail Merchandising Duration: 3+ Months Location: Bolingbrook, IL 60440 (Hybrid – 6 days per month onsite) Rate: $35.00/hr
Position Summary We are seeking an experienced Executive Assistant to provide high-level administrative support to multiple executives on the Ecommerce & Digital Team. This role involves managing schedules, travel, meetings, expense reporting, and preparing communications and presentations. The ideal candidate is proactive, organized, and able to manage competing priorities with a high level of professionalism and accountability.
Job Responsibilities
Strategically and proactively manage executive calendars, invitations, and scheduling conflicts.
Coordinate officer-level business and event travel, including expense management for Directors and Officers.
Organize meetings: prepare presentations, create handouts, record notes, troubleshoot logistics/technical issues, and manage follow-up activities.
Draft, edit, and proof correspondence, agendas, and communications with a high level of accuracy and presentation quality.
Support team culture by helping leaders recognize milestones (anniversaries, birthdays, family events) and plan team outings.
Assist with broader administrative team events, including leadership offsites and townhalls.
Maintain comprehensive and accurate records.
Anticipate challenges, recommend solutions, and contribute to process improvements as a thought partner.
Requirements for Consideration
5+ years of executive-level assistant experience.
Previous experience in retail or merchandising environments preferred.
Strong ability to work independently and take initiative in a fast-paced environment.
Proven multi-tasking skills with a focus on meeting deadlines and follow-ups.
High level of professionalism, discretion, and diplomacy.
Proficiency with current business technology; eager to learn and adopt new tools.
Strong communication skills (verbal & written) and active listening ability.
Flexible and adaptable to changing priorities.
Ability to handle multiple stakeholders and tasks simultaneously.
