Description
RVK's Midtown Manhattan office is looking for an Executive Assistant toindependentlyprovide critical support to multiple consultants and colleagues in a team-oriented environment, as well as several clients and internal client service teams. Additionally, this position will support the various administrative needs of the New York Office, which is comprised of ten professionals. Our ideal candidate is an experienced administrative professional who demonstrates proactivity, timeliness, high attention to detail, confidentiality, and polished communication in all of their work.
Duties and Responsibilities
Provide executive administrative support to New York-based consultants and other professionals by managing all details of their diverse, high-activity calendars (including proactive reminders, as needed); booking and monitoring frequent, nuanced travel (including managing changes); and reconciling expenses
Provide proactive support to several internal client service teams by managing calendar invites; maintaining all client account details in our CRM database; proofing and formatting all client deliverables; and printing, binding, and shipping client deliverables
Oversee daily administrative function of RVK's New York Office, including but not limited to: opening and closing the office and greeting visitors; monitoring the phone line and managing mail; maintaining office organization and appearance; supporting in-office meetings; planning local office events; managing all vendor relationships and office inventory; supporting new employee onboarding process; and troubleshooting local technical issues and updates with centralized IS team
Potential for expanded responsibilities dependent on successful performance of core responsibilities, skillset, experience, and aptitude
Qualifications
Required Qualifications 3+ years of work experience, including as an executive assistant or in a similar role
Bachelor's Degree or equivalent combination of education and experience
Proficient with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
Ability to work in office in Midtown Manhattan during standard business hours (Monday through Friday from 8:30 AM - 5:00 PM, or as agreed), with limited longer hours as projects or circumstances require
Strong work ethic with a friendly and professional demeanor
Strong organizational skills with high attention to detail
Excellent written and verbal communication skills, including polished internal and external client service and interpersonal skills
Ability to work independently and proactively within a team environment
Ability to work in a deadline-driven environment and handle multiple tasks simultaneously
Ability to analyze ad hoc situations and adopt effective courses of action
Experience booking travel and coordinating across time zones
Preferred Qualifications A willingness to learn new systems and processes and take on additional tasks
Knowledge of financial industry helpful but not required
Compensation and Benefits RVK offers compensation commensurate with experience and qualifications.
Positions are eligible for a discretionary performance-based bonus if held by an active employee on the date bonuses are payable.
