Essential Functions Manage the President’s Outlook calendar by setting appointments, prioritizing time-sensitive engagements and tracking and organizing and delivering on key tasks. Manage, prioritize, edit and draft responses for all communications including Outlook emails and other correspondence both internal and external. Summarize and Organize meetings, including scheduling, sending reminders, creating meeting summaries, action items-tasks and following up to completion. Organize and maintain accurate records of external clients and projects, which may include light accounting, timekeeping, external executive-level communication and cross-communication with internal resources and employees. Handle sensitive and confidential information with discretion and professionalism.
Ideal Candidate Profile Proactive, detail-oriented, and experienced in supporting senior executives. Demonstrates sound judgment, prioritization skills, and decision-making capabilities. Energetic, resourceful, urgent and thrives in a fast-paced environment. Skilled at building relationships across departments and communicating with high-level stakeholders. Self-starter with a positive, “can-do” attitude and strong team orientation.
Criteria for Hire 3–5 years of executive-level administrative experience. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Strong written and verbal communication Excellent time-management and organizational skills.
Less experienced is okay but must be highly organized/urgent person that is very solid with technology.
