EXECUTIVE ASSISTANT
SUMMARY DESCRIPTION
With minimum supervision, performs difficult and highly responsible secretarial work requiring the frequent exercise of independent judgment in applying and interpreting District or department policies, regulations and procedures. May act as a lead person and supervise other clerical/secretarial employees who maintain the support functions of the organizational entity. Incumbent performs related work as required.
DISTINGUISHING CHARACTERISTICS
The duties and responsibilities of the class reflect knowledge of the overall District operations. A high degree of familiarity with District policy, regulations and operation procedures is required. The complex program activities cover a broad range of responsibility and require precise coordination of work, frequent interpretation of policy, regulation and overall District operation practices. Public and elected official contact is frequent, requiring high level interpersonal communication skills. An individual in this position must be well informed on District activities and be able to communicate the position and/or policy of the District as required.
EXEMPLARY DUTIES/RESPONSIBILITIES
Serves as a primary resource person to administrative and non-administrative employees in areas of the division's responsibility; calendar maintenance for assigned administrator(s); interprets appropriate District policy and regulations for employees and the general public; performs the secretarial administrative duties of the position and may supervise and assign subordinate clerical employees; conducts research and prepares reports of diversified nature relating to administrative problem-solving, decision-making and policy matters; assists and advises division administrative staff in all matters related to the operation of the department; refers inquiries to the appropriate individual or department, researches and assembles amplifying information where necessary; examines forms, reports, files or other documents for accuracy and completeness and resolves errors and omissions; prepares and insures the timely completion of department reports and activities and may personally research background information, statistical data and other information; prepares purchase orders, claims and payrolls; and maintains financial and statistical records. The individual must also be highly proficient in computer applications in Microsoft Office including Outlook, Word, Excel, PowerPoint, in addition to being able work with computerized accounting systems.
EMPLOYMENT STANDARDS
Education/Experience: Any combination of education and experience that would likely provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and experience would be:
Equivalent to a high school diploma. Coursework in business administration, accounting, statistics, or other related field is desirable. AND Five (5) years of responsible and complex clerical work involving at least two (2) years of office management or supervisory responsibility.
Knowledge of: District rules, regulations, policies and procedures; mathematical computations; budgeting and bookkeeping; correct English usage; legal, financial, statistical and record-keeping methods associated with the department; business correspondence; filing; standard office equipment and computer applications.
Skill at: Working independently with minimal supervision; planning and organizing work; following complex oral and written instructions; developing office procedures; performing difficult clerical work accurately using independent judgment, where work of the department requires; maintaining sensitive, confidential information; applying basic grammatical rules; setting priorities; providing excellent customer service with diverse groups; displaying tact and courtesy; establishing and maintaining effective professional relationships; working and communicating effectively with District personnel and the public.
Special Consideration: As needed, must be willing and able to work in the evenings as needed.

Temporary employees working less than 6 months do not receive benefits.
New employees will be fingerprinted upon hire and every five years thereafter and will have $58.50 deducted from their first paycheck to help defray the cost of fingerprinting. Non-licensed employees will have $58.50 deduction when their fingerprints are completed every five years. Fingerprint fees are subject to change.
