As a Customer Service / Inside Sales Associate , you are responsible for day-to-day management of customer orders and RMAs. Facilitate sales related activities working closely with the sales management team, sales rep firms, customers, and internal departments, as needed, to ensure accurate input and scheduling of orders and timely shipment of new product and repairs. Develop close relationships with Tier 1 customers to provide superior customer service by understanding their unique needs and finding creative solutions to their problems – such as, but not limited to, development of new processes, spreadsheets, or interdepartmental communication.
ESSENTIAL DUTIES, RESPONSIBILITIES & AUTHORITIES include the following. Other duties may be assigned.
Review customer orders and RMA requests to ensure accuracy of information and that orders conform to ISO requirements as well as applicable terms and conditions of sale. Work closely with customers and/or reps to make changes to orders when needed to comply. Understand customer contracts to ensure compliance on both sides. Once orders are correct and complete, enter into ERP system, assign delivery dates and acknowledge back to customer. Maintain order files, open and closed, for traceability. Enter new customers in ERP system. Obtain required documents from customers and submit request to Finance department for credit approval and set up. Work customer requests to expedite, cancel or return product. Continuously review backlog reports for sales orders and RMAs to ensure orders are picking and shipping on time and notify customers of shipping delays. Participate as member of call group, answering calls made to Inside Sales 800 line when at desk. Assist with all nontechnical inquiries. Support Regional Sales Managers and Rep firm’s requests for information, reports, etc. QUALIFICATIONS FOR A CUSTOMER SERVICE / INSIDE SALES ASSOCIATE Bachelor’s degree (B.A.) or equivalent from two-year college or technical school. Five years related experience. Intermediate ability to prepare MS Word documents and MS Excel spreadsheets. Understanding of ERP systems, supply and demand, and material flow from factory to customer. Understanding of logistics with regards to shipping of product, familiarity with different carriers, service levels, and options available to ensure timely, cost-effective delivery of material. Demonstrates the ability to manage multiple responsibilities and shifting priorities effectively. Excels in fast-paced environments, consistently meeting tight deadlines with accuracy and focus. Maintains sound judgment and professionalism in periods of high demand, including month-end close processes and revenue-critical deadlines. Effectively handles challenging scenarios with resilience and poise Strong administrative and organizational skills, attention to detail. Strong interpersonal and communication (listening, written & verbal) skills. Effective problem-solving skills and flexibility; open to new ideas and change.
SALARY RANGE
The starting annual base pay for the role is between USD $58,000 and $68,000. The actual base is dependent upon many factors, such as training, transferable skills, work experience, business needs, market demands. The base pay range is subject to change and may be modified in the future. The role may also be eligible for variable bonus programs and benefits.
