Position Summary
The Customer Service & Dispatch Assistant is the primary point of contact for dealership partners and customers inquiring about shipment updates, delivery timelines (ETAs), and problem vehicle status. This role also supports the dispatch team in coordinating driver updates and assisting with day-to-day logistics. The ideal candidate is friendly, professional, detail-oriented, and thrives in a fast-paced environment where timely communication and follow-through are essential. Key Responsibilities Customer Support: Answer inbound calls and emails from dealerships and customers regarding shipment status, ETAs, and updates.
Problem Car Tracking: Monitor and help resolve issues related to delayed or problematic shipments by coordinating with drivers and dispatch.
Follow-Up & Resolution: Proactively reach out to customers with updated ETAs or issue resolutions. Handle escalations with urgency and professionalism.
Dispatch Support: Assist the Lead Dispatcher with real-time communication to drivers, updating system notes, and coordinating pickups or deliveries as needed.
Data Entry: Accurately enter and maintain shipment records, vehicle notes, and customer communication in Vehichaul or related systems.
Internal Coordination: Work closely with drivers, dispatchers, and other departments to ensure a smooth and timely delivery experience.
Documentation: Maintain organized records of calls, updates, issues, and resolutions for internal tracking and follow-up.
Qualifications Education: High school diploma or equivalent
Experience:
Customer service or call center experience required
Prior experience in transportation, logistics, or dispatch support is a plus
Skills:
Friendly and professional communication (phone and email)
Strong organizational and multitasking abilities
Excellent problem-solving skills with a proactive, solution-focused mindset
High attention to detail and follow-through
Comfortable using dispatch or CRM systems and Microsoft Office
Ability to remain calm and courteous under pressure and during time-sensitive situations
Other Requirements:
Flexible availability during peak times (occasional evenings or weekends)
Knowledge of DOT regulations is helpful but not required Physical Requirements Sitting for extended periods at a computer
Frequent use of hands/fingers for keyboarding and phone work
Clear verbal and written communication
Occasional walking, standing, and lifting up to 20 lbs.
Compensation Hourly Rate: $20-$25 per hour, based on experience and qualifications
Schedule: Monday - Friday (8:00AM - 5:00PM or 9:00AM - 5:00PM) Set hours will be discussed with direct supervisor.
Compensation / Pay Rate (Up to): $20.00 - $25.00 Per Hour
