The Animal Emergency & Referral Center of Minnesota (AERC-MN) is looking for a Full-Time Specialty Client Service Representative to add to our team. Role Title: Client Service Representative - Specialty/Hybrid
Department: Services
Shift: Day (7am- 5pm), Monday - Thursday

The primary function of the Specialty Client Service Representative (SCSR) Hybrid in the Services Department is to provide exceptional care of both patients and clients by service as an extension of the veterinarian. Additionally, the SCSR is expected to promote professional growth through education and learning opportunities. This position will report directly to the Referrals Support Team Manager.

You will answer phone calls, enter data into the electronic medical record platform, perform financial transactions, and reduce client anxiety by troubleshooting issues related to client service process, service failures, or other problems including identifying and resolving the problem through effective decision making and escalating issues when appropriate.
You will function as a liaison between the client and the clinicians and technical teams, so it is vital to demonstrate patience, interpersonal communication skills, empathy, and compassion.

This is a non animal handling role. Although you will not physically be handling patients often, you will work closely alongside them while focusing efforts to providing the best client care and support possible to both clients and the referring community.
Requirements & Qualifications
Physical Requirements Ability to occasionally lift 40 pounds from floor to table height
Ability to work in a fast-paced environment under pressure and high levels of stress
Limited exposure to controlled, chemo-therapeutic, teratogenic, and mutagenic drugs; zoonotic diseases, radiation, and anesthetic gases
Required Minimum of 3 years client service experience
High School Diploma or GED
Essential Duties and Responsibilities
The following is a list of job responsibilities for the Specialty Client Service Representative (SCSR) Hybrid. This list is not all-inclusive and may be broadened or changed to meet our changing business environment: Serve as the lead SCSR on the 2nd Specialty Floor during scheduled shifts
Act as primary liaison for specialty department needs, ensuring smooth daily operations and patient coordination.
Ensure client & patient intake is completed as appropriate to the specialty
Communicate effectively with specialty departments of client/patient arrival for appointment or discharge
Collect/refund financial deposits as instructed by specialty service
Scheduling recheck or consult appointments with appropriate service when requested
Receive and process items from referring community such as ER, radiographs, lab work, and medical records
Maintain a clean and tidy workspace of the specialty department exam rooms, lobby, and other areas where clients primarily reside.
Assist other departments as requested
Not an animal handling role, however, incur risk of injury from animals
Secondary Responsibilities: Support the Referrals Office during periods when specialty floor coverage is not needed.
Assist in managing incoming referrals, verifying documentation, and coordinating patient appointments across departments.
Tertiary Responsibilities: Provide backup coverage for the ER Client Service Representative (CSR) when: There is no SCSR coverage needed on the 2nd Specialty Floor.
Referral workload is minimal, no help is needed in the Referral Department
