Position Summary The Assistant Project Accountant is responsible for routine administrative duties, including maintaining accurate and complete records of project documents and assisting the project teams with the accounting and billing process. The position works under the direct supervision of either the Project Manager or a more senior Project Accountant. This position must demonstrate strong organizational and time management skills.
Major Duties & Responsibilities Process all material and subcontractor invoices for approval and inputs into the accounting system
Assist in the review of subcontractor pay application information, including current contract value, stored materials, owner direct purchasing, and retainage
Request, collect, and file partial and final release of liens; ability to identify and address any needed changes
Track and assist with subcontractor insurance compliance renewals
Request and obtain valid W-9s for new vendors
Collect, confirm compliance, and process Certified Payrolls when required
Receive and process payroll for hourly employees
Assist with onboarding of new team members
Process Personal Action Forms (PAF) for all craft employee changes
Assist with generating billing backup details and reconciliation of billings against job cost per MCC Standards
Prepare Job Cost Corrections as required
Set up and maintain general subcontractor correspondence and accounting files in the document control system
Receive, date stamp, and distribute all incoming mail
Order and maintain stock of office supplies
Help maintain records of computer-related equipment and prepares equipment transfers as needed
Assist the Superintendent or Safety Manager in maintaining OSHA documentation and postings
Provide general administrative support to the project team as requested
Responsible for conducting themselves in accordance with our Guiding Principles and exhibiting attributes matching the Way We Work
Other duties as assigned
Job Skills & Abilities Guidelines Computer knowledge and efficiency, including Microsoft Office products
Knowledge of Vista or similar accounting system/ERP, or ability to navigate within 30 days of hire
Good time management and organizational skills
Ability to follow set instructions and seek results
Functions effectively as part of a team
Dependability
Minimum Qualifications High school diploma or GED
Previous relevant accounting experience or 2 years of industry experience
Project Location: College Station
Working Conditions and Physical Efforts Ability to physically stand, bend, sit for long periods, and squat throughout the day
Ability to repeat the same movements
Ability to communicate effectively to participate fully in meetings, video conferences, and phone calls
Use hands to type, handle, control, or feel objects, tools, or control
Occasionally lift, pull, or move up to 25 lbs
Occasional travel will be required, primarily in the metropolitan area but sometimes domestically (must have a valid Drivers License)
