Western Kentucky University, a member of Conference USA and a Football Bowl Subdivision NCAA member institution, seeks to hire an individual for the position of Assistant Athletic Director for Business Operations within the Department of Athletics. This is a 12-month, full-time position. This position will report directly to the Sr. Associate Athletics Director/CFO of Athletics. Applicants must have a commitment to and responsibility for adhering to all rules and regulations of WKU, Conference USA and the NCAA.
Primary Duties and Responsibilities:
The following duties are customary for this position, but are not to be construed as all-inclusive. Duties may be added, deleted and assigned based on management discretion and institutional needs.
Budget analyst (monitor and communicate with unit and sport leadership status of each area's budget)
Supervision of all department budgets, make decisions regarding expense timing to coincide with department cash flow
Formulate budget recommendations for department leadership
Budget Development: In collaboration with units/sports, department CFO and University Budget Office develop annual Unit, Sport and overall department budgets
CHF/HAF: Monitor revenues and expenses for all athletics accounts and communicate balances to coaches
CUSA, NCAA & EADA report coordination: Work with campus constituents to secure financial, HR and student-athlete information for the completion of annual reports
Make decisions regarding expense coding to reflect NCAA report standards
Strategic Planning: Assist with analysis of conference and University peers regarding staffing and revenue generation expenses
Performs business office duties to include: word processing, spreadsheet development and form preparation, filing, copying and other basic office functions.
Maintains financial records for receipts and expenditures.
Reconciles procurement card activity for assigned Teams, and Units.
Processes departmental requisitions accurately, enters data into accounts payable for proof of receiving before approval of vendor invoices for payment.
Decisions on individual and team travel regarding method and appropriate provider selection and assists w/ travel arrangements to comply with WKU procedures.
Decides appropriate purchasing procedures for travel, athletic supplies and equipment.
Manages cash deposits and maintain account records for assigned sports and units.
Provides Banner system information as requested by coaches and administrators on university and Foundation accounts.
Serve on campus committees as requested
Provides after hour financial support to coaching staff and unit leadership as needed
Other duties as assigned
Knowledge and Skills Considered Essential for Success:
Knowledge of and experience in online accounting software (Banner, People Soft, Axiom, other)
Must have PC experience and working knowledge of MS Office (Excel, Word, Power Point, other) products
Must have excellent written and verbal communication skills
Must have strong organizational skills and enhanced computer skills.
Ability to work independently and handle multiple tasks simultaneously.
Ability to handle confidential and sensitive situations with tact and diplomacy
Must have good interpersonal skills, be attentive to detail, present a professional attitude, and show willingness to take initiative.
Experience with purchasing platform software.
Experience in collegiate athletics environment
Working knowledge of and compliance with NCAA rules that relate to duties and responsibilities of this position
Job Requirements:
Bachelor's Degree
Working experience / knowledge of typical business office software (MS Office Suite, specifically Excel, Word, and Power Point)
At least one year of office experience
Additional Information:
Salary Range: $48,600 - $49,992
