Job Description:
Responsibilities: Responsible for a variety of administrative duties associated with the activities of a busy research and development campus. Coordinate department meetings, programs, and projects to ensure they meet timing, cost, and specific deliverables. Act as a key power user/Google Guru for all systems and software used by functions in order to assist the department in leveraging technology to improve processes and projects. Responsible for managing purchase orders; reconciling discrepancies with invoices and following up with external vendors as needed. The Client Administrative Assistants serve as the subject matter expert and first point of contact for the Ariba purchasing and invoice processing system. Coordination with hiring managers for onboarding new employees. Responsible for set-up and clean-up for refreshments for meetings. Education/Experience: Minimum education and experience requirements: Associate’s Degree 2+ years of relevant experience. Preferred Education And Experience Requirements: Bachelor’s degree. Previous Experiences in one or more Coordinator roles and/or Project Coordination roles. Project Management Skills including organization, planning and execution. 2+ years of multi-building corporate office campus experience. Expected Areas Of Knowledge, Skills And Abilities: Significant experience using MS Office (Word, Excel, PowerPoint) OR Google Suite. Effective interpersonal skills, including the ability to work effectively in a team environment. Experience working for multiple managers and stakeholders. Strong project management skills. Good financial management skills, to organize, plan and execute against a budget. Knowledge of SAP. Problem solving ability. Ability to perform data analyses. Excellent oral and written communication skills. Ability to handle confidential and proprietary information. Exposure to both cold and hot work environments both inside and outside the facilities. Must be able to walk up to 50% of the scheduled workday. Must be able to bend, stoop, reach, push, and pull throughout the workday. Must be able to climb stairs frequently. Must be able to occasionally work unscheduled nights, weekends, and holidays.
