Job Summary: The Administrative Assistant the smooth and productive operational support to the administrative departments. Providing a positive experience for all by welcoming staff, students, and families into the school. Providing support in person, on the telephone and via email to families and vendors while attending to needed tasks within the reception area. Hours: Approx. 40 hours/week 7:30AM-3:30PM, M-F, including a 30 minute daily lunch break plus a weekly 2.5 additional hours on or offsite for planning Detailed Responsibilities: Office/School Operations Provide excellent customer service and maintain a welcoming environment Greet visitors and notify team upon arrival Answer phones and direct calls as appropriate Act as a liaison with building management for issues and/or repairs Order all supplies for the staff kitchen, track and manage inventory, restocking as needed Order all office supplies needed for the school Order food for school special events as requested by your supervisor Mentoring and assigning tasks to students in the post high school administrative internship program when students are assigned to the internship May need to complete offsite tasks (post office, stores, UPS, school lunches, etc.) Coordinate and oversee the School Lunch Program in collaboration with Waltham Public Schools and CFO. Collect order forms and order lunches weekly Pick up lunches daily from Walthams Kennedy Middle School, bag lunches upon arrival back to Milestones, and ensure staff pick up student lunches Process all lunch order charges on the My School Bucks app on the Windows Tablet Troubleshoot any lunch order related issues
Maintain orderly appearance in shared spaces lobby, staff kitchen, student kitchen May be responsible for coordinating inspections for the school (Health/Fire/Fire extinguishers/etc) Including emailing and filing online paperwork May be responsible for overseeing on schedule inspection of school vans during scheduled time Administrative Update daily student attendance through ALMA (student information system) and send monthly notices to districts regarding attendance Update transportation binder for any new students or student departures Keep family directory up to date Email therapist Medicaid forms for students Support marketing through mailings and coordination of events Email Progress Reports to families and districts Other projects and tasks as assigned. Assist admissions in collection of referral materials create electronic folder for student and put all evaluations sent with referral in the folder General filing for school documentation and student files Human Resources Support Update employee rosters to reflect new hires, staffing changes, and phone extensions Assist with interviews and new hire by answering questions, providing onboarding support, and greeting onsite visitors Maintain confidentiality and professional discretion regarding any matters of HR you may be assisting with Qualifications/Requirements: Maintain confidentiality and professional discretion regarding any matters you may be assisting with Strong prioritization skills and demonstrated ability to manage multiple competing tasks in a timely manner Demonstrated positive customer service orientation Experience in an administrative support role Efficient with technology spreadsheets, microsoft suite , google Workspace, email, scanning, faxing High attention to detail Ability to take initiative and operate both collaboratively and independently High School Diploma required, Bachelors degree preferred School Setting experience is a plus Experience with special needs population is a plus MILESTONES PROVIDES EXCELLENT BENEFITS, INCLUDING: Competitive salary Health, dental, and vision Insurance Approximately 7 weeks vacation (approximately 6 weeks when school is not in session and 5 days of your choice) Other time off (10 holidays, 8 days of sick time, 2 days of personal time, birthday holiday bonus!)
