Holding Hands is looking for an Administrative Assistant who is eager to learn, grow, and contribute to our fast-paced environment and strongly aligns with our mission to bring quality Applied Behavior Analysis (ABA), DIR/Floortime, and mental health services to new regions and markets in the United States. As an Administrative Assistant, you will be an integral part of our operations team, providing key support to both our clients and clinical staff. We are seeking a candidate with awareness and experience with supporting high-volume administrative tasks, particularly in healthcare, specifically behavioral and mental health services. This role reports to the Office Manager and collaborates with the Program Scheduler and Coordinators.

Scheduling: Monday 10:00am-6:30pm availability and Saturday 10:00am-4:30pm are needed. Will include 1 additional day depending on availability. Essentially 15-20 hours per week

Key Responsibilities
  • Open/Close the clinic. 
  • Answer and direct phone calls.
  • Assist and support schedule change requests and scheduling needs as needed. 
  • Attend Operational meetings and take detailed notes.
  • Write and distribute emails, correspondence memos, letters, faxes, and forms.
  • Assist, when needed, in the preparation of regularly scheduled reports.
  • Maintaining records and systems as needed. 
  • Adhering to office policies and procedures. 
  • Monitor and manage inventory of office supplies, cleaning supplies, and clinical supplies. 
  • Maintain professional relationships with stakeholders.
  • Provide exceptional customer service to all stakeholders.
  • Act as the liaison for all stakeholders.
  • Maintain the integrity of the building. This may include assisting the cleaning crew when 
    necessary, maintaining a safe environment for clients and staff, and light building maintenance. 
  • Monitoring and tracking clients and staff in the clinic, and consulting with staff to problem-solve unexpected situations.
  • Assist Coordinators and Directors as needed.
  • Assist with event planning as needed

Skills, Knowledge and Expertise
  • Minimum of 1+ year of relevant work experience in an administrative role, receptionist, front office staff.
  • Minimum of a High School degree, Administrative Certifications preferred.
  • Excellent written and verbal skills in English and bilingual preferred 
  • Strong organizational skills with the ability to multi-task
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Word, MS Excel, and MS PowerPoint
  • Excellent time management skills and the ability to prioritize work.
  • Proactive and create a positive experience for others.
  • Ability and desire to operate resourcefully, independently, and with urgency.
  • Ability to articulate POV with clarity, humility, and a willingness to question one’s assumptions and desire to constantly improve.

  • A passion for the field of healthcare while leading with empathy.
  • Experience and understanding of the ABA, Floortime/DIR, and mental healthcare industry a plus
