Position Summary
The Administrative Assistant II will provide general administrative, and front desk duties to the First Born and More Model Office and Institute for Innovative Family Programs (IIFP). This position provides administrative support to staff with purchasing, scheduling, maintaining records through a database, data entry, and other duties as assigned. Provides direct support to students, early childhood workforce, and community partners through recruitment, applications, and admissions. Must be committed to working in a diverse college setting and providing quality customer service to the community.
Duties & Responsibilities
- Prepares, processes, and tracks financial program data, documents, and applications.
- Prepares documents and tracks purchasing processrequisitions, purchase orders, invoices, and P-cards.
- Provides support with the development of standardized operating procedures.
- Provides administrative support to First Born and More Director and staff through scheduling, preparing documents, creating materials, event management, follow-up, and other duties as assigned.
- Manage events calendars, newsletter, social media channels, and support other recruitment and community engagement opportunities.
- Coordinates with SFCC services for First Born and More and IIFP events and trainings.
- Coordinates the translation of documentation, child care, and the details of event planning start to finish.
- Provides support at the Early Childhood Center of Excellence (ECCOE) Welcome Center
- Coordinates travel for staff
- Creates and tracks HR documents.
- Tracks and manages budgets and purchasing.
- Tracks and manages grant and reporting deadlines.
- Tracks programmatic inventory including the management of equipment.
- Tracks programmatic data in a database or workflow software.
- Updates and maintains program information related to marketing, handbooks, presentations.
- Research grant opportunities.
- Performs related duties as assigned.

- Business level knowledge of Microsoft and job-related software programs.
- Ability to communicate with diverse students, employers, and community members.
- Ability to work with a variety of individuals representing different skills, attitudes, and disciplines among the college community, and external partners.
- Ability to use excellent written and verbal communication skills in correspondence and creating reports.
- Ability to provide high quality customer service.
- Skill in decision making and problem solving.
- Skills in data entry and maintenance of files, records, and data.
- Skill in compiling information and preparing reports.
- Knowledge of planning and scheduling techniques
- Knowledge of college and department policies and procedures
Work Hours
- Monday to Friday, 8 am to 5 pm.
- Weekend and evening work may be required occasionally.
Physical Demands
- The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, walking, bending, crouching or stooping. The employee occasionally lifts light objects, no more than 15 lbs.
- The work is typically performed in an office.
- Occasional evening and weekend work required.

Minimum Qualifications:
- High School diploma or GED.
- One (1) year of related administrative and financial management experience.
Preferred Qualifications:
- Associate Degree or higher.
- Experience working in higher education or with community organizations.
- Finance and purchasing experience.
- Bilingual and Biliterate English and Spanish.
