Position Summary We are seeking a highly organized, proactive, and detail-oriented Warehouse & Purchasing Manager with proven experience in shipping and receiving, inventory control, and procurementideally within the dietary supplement or nutraceutical industry. The ideal candidate will possess both technical knowledge of material/component handling and strong leadership capabilities to guide daily operations. This role requires exceptional time management, clear communication, problem-solving skills, and the ability to prioritize effectively in a fast-paced, highly regulated environment.
The candidate must be proficient in Google Sheets and NetSuite ERP, and capable of maintaining compliance with cGMP, FDA, and company SOPs while collaborating with cross-functional teams.
Key Responsibilities Lead all daily warehouse functions including receiving, inspection, storage, picking, and shipping of raw materials, packaging components, and finished goods.
Ensure compliance with cGMP standards for the safe handling of inventory and materials.
Oversee lot-level traceability, and maintain accurate documentation of all inbound and outbound shipments.
Coordinate with Quality Assurance on retention sample collection, product quarantine, and release protocols.
Enforce safety protocols and contribute to a clean, organized, and hazard-free warehouse environment.
Train and manage warehouse staff on SOPs, inventory movement, and operational efficiency.
Purchasing & Inventory Create, issue, and manage purchase orders for raw materials, packaging, MRO, and operational supplies.
Establish and maintain strong relationships with vendors; evaluate vendor reliability and performance.
Monitor stock levels and lead times to optimize inventory flow, prevent production delays, and minimize carrying costs.
Maintain accurate vendor/item master data in NetSuite; track material usage, shelf life, and reordering needs.
Collaborate with R&D, Production, and QA to forecast demand and support product launches.
Document Control & Compliance Ensure all receiving, shipping, and warehouse records meet FDA and industry standards for documentation and traceability.
Organize and maintain Certificates of Analysis (COAs), specifications, and supplier documentation.
Support internal and external audits by maintaining clean, audit-ready records and participating in inspection readiness.
Systems & Reporting Utilize NetSuite ERP for purchasing, receiving, inventory adjustments, and reporting.
Build and manage Google Sheets dashboards to provide real-time visibility of inventory, POs, and procurement metrics.
Analyze supplier and inventory performance data; implement process improvements and cost-saving initiatives.
Qualifications 7+ years of warehouse and/or purchasing management experience, preferably in the dietary supplement, food, or nutraceutical industries.
Strong knowledge of GMP, FDA compliance, and traceability best practices.
Proficiency in NetSuite ERP is required.
Advanced Google Sheets skills (VLOOKUP/XLOOKUP, pivot tables, filtering, formulas).
Exceptional organizational, time management, and multitasking abilities.
Strong written and verbal communication skills, with the ability to collaborate effectively across departments.
Demonstrated experience in training and mentoring warehouse teams.
Forklift certification (or willingness to obtain within 90 days of employment).
Work Environment Role is split between office (administrative tasks) and warehouse (operations oversight).
Requires occasional lifting (up to 50 lbs), walking, standing, and forklift usage.
Frequent collaboration with Quality, Production, and R&D teams in a dynamic, fast-paced environment.
