Carolina Comfort Air, Inc. is a fast-growing HVAC company located in Clayton, NC. We are excited to be looking for a Retail Coordinator to help our Retail Department with permitting and other administrative duties.

The Retail Coordinator reports to the CCA Department manager and works collaboratively with other CCA employees in leading the Company toward its long-term vision of being the premier heating and air conditioning services provider. An employee in this class performs the full range of duties associated with dispatching field technicians and support personnel to various sites and jobs.

Hours: 8:00am- 5:00pm Monday-Friday
Monday-Thursday :In Office
Friday- Fully Remote
1 On-Call Weekend A Month- Remotely

4-6 Weeks Training Schedule Monday-Thursday 8:00am- 5:00pm


Essential Job Functions:
Permitting:
Process permit application for installation jobs in a timely manner
Process permit payments with designated inspection departments
Coordinate permit applications and inspections with the electrical contractor
Schedule and coordinate inspections with homeowners, tenants, contractors, and builders
Coordinate and reschedule all inspection corrections and/or callbacks with field supervisor, consultants, and point of contact for job
Coordinate any special requests items for inspections with shop managers
(ex: ladders, truck for consultant for estimate, and etc.)
Forward all credit card transaction receipts to Accounts Payable
Administrative:
Complete Homeowners Booklet for all installation jobs
Complete Equipment Registration for all installation jobs
Create and mail all past due inspection certified letter to homeowners
Retrieve and updated consultants sales board
Schedule Estimates and Follow-ups and complete binder for consultants for Consultants
Assist field supervisor with daily tasks when needed (ex: researching materials for meeting and computer skills)
Assist Consultants with mailings and various tasks
Maintain electrical contractor callback spreadsheet
Assist coordinators in various tasks when needed
Complete and forward installation CPP information to service department
Process financial applications and documents.
Complete Appointment Confirmations
Complete Installation layouts for Shop, Mechanic, and Electrical team
Complete Installation Team Hour Spreadsheet

Requirements:
Minimum of a High School diploma
At least 2 years of overall professional experience as a Dispatcher or similar role in a HVAC related environment
Excellent Communication Skills
Proficiency in Service Titan, MS Office (MS Excel and MS PowerPoint, in particular
Organized with the ability to prioritize and multi-task
