SUMMARY:
Serves as initial contact and assists patients and their families with access to services within Behavioral Health and the Education Center. This role manages referrals for Behavioral Health services, performs complex scheduling of patients, and provides orientation to Behavioral Health and Education Center services. This is a non-exempt, hourly position.
ESSENTIAL DUTIES AND RESPONSIBILITIES : Checks patients in and out and ensures all required paperwork is complete.
Collects co-payments, deductibles and patient account balances and balances daily department collections and closes daily journal with appropriate team member(s).
Performs routine administrative and clerical tasks required to establish new patients; organizes and tracks the status of all incoming referrals; provides new patient paperwork, and orients patients and families on visit types and what to expect from the new patient visit.
Maintains the schedule for new and existing patients to assist with clinic flow; updates providers about rescheduled/canceled/late patients.
Prepares Behavioral Health charts for the following day, verifies that eligibility and benefits have been checked, superbills are prepared, authorization is active for all appointments, confirms patient appointments, and conducts follow up calls for outstanding items.
Utilizes electronic health record to document essential information.
Files, prints, types, copies, binds, and scans documents for the department and Education Center.
Quickly and professionally answers incoming calls; takes complete and accurate messages and/or transfers call properly; handles correspondence including faxes and emails.
Files patient documents with Medical Records department.
Takes notes and minutes for assigned meetings.
Provides patients and families information about events coordinated through the department and Philanthropy/Development and registers patients for events.
Assists the Education Center in planning and coordinating events and projects; contacts and registers patients/families for events; schedules appointments with the Education Center; covers the information desk within the Education Center and takes shifts during Education Center events.
Cleans, stocks, and organizes the suite; cleans psychological tests/materials/therapy items.
Performs other duties as assigned.
REQUIRED EDUCATION AND EXPERIENCE: High school diploma or GED
PREFERRED EDUCATION AND EXPERIENCE: Previous work-related skill, knowledge, or experience
KNOWLEDGE, SKILLS, AND ABILITIES: Ability to understand and follow oral and written instructions.
General knowledge of daily clinic preparation process; preparing charts, reviewing scheduling.
Documents and communicates pertinent information effectively, accurately, and timely.
PHYSICAL DEMANDS AND WORK ENVIRONMENT: Frequently required to sit for 6-7 hours daily at a computer terminal.
Frequently required to utilize hand and finger dexterity.
Frequently required to reach, bend, and move 15 lbs.
LANGUAGE SKILLS : English. Bilingual English/Spanish preferred but not required.
