As a Patient Services Coordinator III, you'll be a key contributor to the smooth and efficient operations of a busy clinical practicebalancing both administrative and operational responsibilities with minimal supervision. You'll be the go-to resource for scheduling, patient flow, and system support, ensuring every visit runs seamlessly. While this role does not involve direct patient care, your impact on the patient journey is vital.
Essential Functions:
- Serve as the first point of contact for patients by managing appointment scheduling, responding to inquiries, and maintaining accurate records.
- Act as a "Super User" for scheduling, registration, and billing systemsproviding guidance and training to colleagues and handling advanced tasks like surgical scheduling and calendar management.
- Support and guide Office and Practice Assistants, helping to coordinate daily activities and maintain operational excellence.
- Collaborate with supervisors to oversee front desk workflows and ensure smooth day-to-day practice operations.
- Handle sensitive communications including prior authorizations, prescription refills, and test result inquiries with professionalism and discretion.
- Accept co-payments and manage related financial transactions in accordance with policy.
Qualifications:
- High School Diploma or Equivalent required.
- 35 years of professional office experience, ideally in a fast-paced, customer-focused environment.
- Strong technology and MS Office skills Advanced Outlook, Word, Excel, PowerPoint.
- Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing, and faxing.
- Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
- Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
- Understanding written sentences and paragraphs in work-related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos, and letters), and to take complete and accurate messages.
- Managing one's own time and the time of others.
- Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
- Ability to proofread and edit written documents.
