We are seeking a highly skilled and compassionate Patient Care Services Representative I to join our team. This position blends patient-facing front desk responsibilities with hands-on clinical care (if MA certified). You’ll play a crucial role in supporting both the administrative and clinical functions of the office, from scheduling and insurance authorizations to administering allergy testing and injections. Ideal for pre-med candidates or healthcare professionals looking to deepen their experience in a dynamic, supportive medical environment.
Key Responsibilities
Front Desk & Administrative Duties
Greet patients and visitors warmly, ensuring a positive first impression.
Manage check-in/check-out process, verify insurance, and collect co-pays.
Schedule appointments, testing, and follow-ups in coordination with providers.
Handle prior authorizations by verifying insurance, submitting documentation, and tracking approvals.
Answer and route incoming calls; respond to patient inquiries.
Maintain accurate electronic health records (EHR), ensuring HIPAA compliance.
Keep the reception area organized and stocked with necessary forms and materials.
Assist in handling emergencies by alerting clinical staff while maintaining composure.
Clinical & Patient Care Duties (only applicable if MA certified)
Perform allergy skin testing, pulmonary function tests (PFTs), and FeNO testing.
Administer allergy and immunotherapy injections under aseptic technique.
Prepare and maintain allergy serum and oral desensitization vials.
Educate patients and families about allergy treatments and asthma management.
Monitor and document patient vitals and responses to treatment.
Handle anaphylactic reactions and administer emergency interventions as needed.
Escort patients to exam rooms and prepare them for physician consultations.
Assist physicians, NPs, and nursing staff during procedures and follow-ups.
Complete Epinephrine training, asthma action plans, and discharge documentation.
Maintain clinical areas, including cleaning, restocking, and refrigerator temperature logs.
Sterilize equipment using autoclave per SOPs.
Submit prior authorizations as needed under supervisor direction.
Additional duties as assigned.
Qualifications & Requirements
Education:
High school diploma or equivalent required.
Experience:
Minimum 1 year of experience in a medical receptionist or MA role.
Licensure & Certifications:
CPR certification (or willingness to obtain upon hire).
Skills & Abilities:
Strong customer service, organizational, and multitasking skills.
Proficient in EHR systems and medical terminology.
Familiarity with HIPAA and OSHA compliance standards.
Preferred:
Certified or Licensed Medical Assistant (California).
Prior experience in allergy, immunology, or respiratory care.
Comfortable with skin testing and pulmonary function testing.
Experience with submitting insurance prior authorizations.
