SUMMARY: Under the direct supervision of the Atlanta Office Administrator, and according to established policies and procedures, the Office Services and Events Assistant is responsible for a variety of office services duties. Maintains positive contact with clients, attorneys, and staff and observes confidentiality of client and firm matters. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: 1. Performs copy and printing projects of requestors. Distributes to requesting Provides receptionist support during scheduled breaks and lunch hours; also supports reception station if the receptionist is on vacation or Manages kitchen and office supply inventories; stocks supply rooms and Stocks photocopy machines with supplies; maintains relationship with office machine supply vendors, orders necessary supplies and calls in service when Opens and distributes all interoffice and external mail, including learning the basics of iManage to identify who/where items should be distributed to; works with local US Postal Service, UPS and FedEx to track mail and packages; and takes large registered mail filing projects to the US Postal Service as Assists with set up and break down of conference rooms for meetings. This includes setting up office supplies and food items, when Other duties as assigned. Represents the firm in a professional manner with highest levels of customer service at all times with a focus on firm Strong attention to detail and ability to follow verbal and written instructions and Interpersonal skills necessary to communicate in person, by e-mail, and telephone to provide information with ordinary courtesy, ease, and High School Diploma or GED Certification with two years’ prior experience in an office services, food service or facilities Minimum two years of office experience; law firm experience Ability to organize and prioritize numerous tasks and complete them within established time constraints. Consult with firm administrator and attorneys when priorities Work occasionally requires more than 40 hours per week to perform the essential duties of the position; position may require non-standard hours. Occasional overtime to support after-hours receptions/events. WORKING CONDITIONS: 1.
