Under the general direction of the Manager, T&D Operations Business Services, the Line Operations Coordinator will assist the Line Operations Group through scheduling capital work, processing invoices and timecards, working with other departments to ensure capital processes are followed and completed, and overall general support for the Line Operations Group. The Coordinator supports the capital work the Line Operations Crews complete annually and the associated processes, ensuring timelines are being met and regular communication with other departments, including Property Management, Environmental, Transmission Development, and Engineering.
Essential Functions:
Supports all department procurement processes.
Supports all administration needs.
Supports the oversight of all payables activity for the department.
Checks and reports reconciliation of time-cards and invoicing
Supports department project scheduling, tracking and reporting needs.
Monitors project invoicing for adherence to contract provisions and Company policy.
Runs various reports from systems such as FIS, Cognos, Analytics and SmartSheet.
Assists in the coordination of customer service orders.
Creates and maintains collaborative working relationships internally through meetings and phone or email communications.
Collaborates with other departments to keep them aware of projects status.
Works with the various departments including, Planning, Engineering, Billing, Support Services, and Property Management.
Call duty rotation.
Supports Versant Power capital program process flow.
Process orders and make updates as necessary in GIS.
Additional Responsibilities:
Maintains files, process documentation and trains backup resources.
Attends outside training as required or directed to compliment work responsibilities.
Performs additional tasks as assigned, including designated duties associated with Storm Restoration.
Other related duties as assigned including designated duties associated with System Restoration.
Required or Preferred Education, Certifications, Experience, Knowledge, Skills and Abilities:
Associate degree in related field or five (5) years utility experience preferred
Strong skills and experience in Microsoft Office products: Word, Excel, PowerPoint
Ability to learn other information systems including Analytics and SmartSheet
Minimum five years employment experience in administrative duties
Excellent written and oral communication skills as well as analytical ability required
Ability to work in a fast-paced team environment
Excellent verbal and written communication and presentation skills are required.
Ability to manage tasks and deadlines for multiple long-term concurrent projects is required.
Independent problem-solving abilities and strict attention to detail required.
Demonstrate strong proficiency in office software such as Microsoft Excel, Word, and Outlook required.
Must be able to deal courteously, tactfully and efficiently with internal and external contacts.
Project management experience strongly desired.
GIS experience strongly desired.
Physical/Mental Requirements:
Position is primarily sedentary, with some walking, driving and standing required
Position requires mental and visual concentration.
Position requires excellent oral and written communication skills.
Position requires excellent organizational skills.
Position can be somewhat stressful.
Extra hours may be required.
Work Hours:
Usual work hours are 7:00 A.M. to 4:00 P.M., Monday through Friday.
Rate of Pay:
Commensurate with experience and qualifications.
