Overview & Responsibilities Summary: The Field Service Administrative Assistant provides high-level administrative and organizational support to the Field Service Director and staff, ensuring smooth daily operations in a fast-paced, dynamic environment. This role requires exceptional organizational skills, discretion with sensitive information, and the ability to manage multiple priorities with minimal supervision. Qualifications: Education:  High school diploma required; Associate’s degree preferred.
Experience:  Minimum of 7 years of administrative/secretarial experience in a professional office environment.
Skills: Proficiency in Microsoft Word, Excel, PowerPoint, and Lotus Notes; familiarity with Oracle, Eigner, and Adobe Acrobat. Strong organizational, prioritization, and communication skills. Ability to work independently, handle confidential information, and adapt to changing priorities. Basic knowledge of Elliott equipment (preferred).
Key Responsibilities: Serve as the primary administrative support for the Field Service Director and team, managing schedules, correspondence, reports, and presentations.
Coordinate with payroll to ensure accurate and timely payment for union employees.
Prepare PowerPoint presentations, manpower load charts, and departmental reports.
Maintain KPI records, including attendance, vacation, training, and scorecards.
Oversee union labor rate updates and maintain contract employee rate/hour records.
Arrange domestic and international travel, including visa applications and accommodations.
Organize meetings, events, and customer dinners.
Maintain confidentiality with sensitive personnel and business documents.
Liaise between departments to facilitate smooth communication and workflow.
