Financial Operations: Manage timely and accurate processing of accounts payable and receivable. Ensure accurate financial reporting, including tenant charges, delinquency reports, and arrears records. Maintain vendor relations and oversee tenant billing accuracy. Office Administration: Support the General Manager with developing and implementing policies and procedures to maintain property standards. Maintain organized, up-to-date tenant, vendor, and operational files. Prepare written communications, review lease abstracts, and coordinate approvals for tenant allowances and reimbursements. Ensure tenant compliance with city regulations and manage utilities metering and billing. Facilities & Site Management: Oversee management office staff, front desk, and security operations. Assist with budgeting, financial forecasting, and controlling operating expenses. Inspect facilities regularly to ensure cleanliness and proper maintenance of systems and equipment. Manage vendor relationships and coordinate maintenance, repairs, and renovations. Regulatory Compliance: Administer compliance programs, maintain documentation, and ensure regulatory standards are met. Conduct tenant move-in/move-out inspections and ensure timely completion of permits and certifications. Tenant Relations: Build strong relationships with tenants, addressing concerns promptly and professionally. Facilitate tenant meetings and communicate effectively about marketing, operations, and security. Maintain records of tenant inquiries, work orders, and enforce site regulations. Additional responsibilities may be assigned as needed to support the successful operation and management of the property.
