Role & Responsibilities
This is a hands-on execution role primarily focused on providing outsourced client services support to financial advisors and also providing operational support for transition projects.
A strong candidate for this position is detail-oriented, self-sufficient, and takes ownership of their work.
Responsibilities include:
Responding directly to client phone calls and email requests while maintaining a high level of professionalism
Executing client service requests, including account maintenance and updates
Processing money movement requests (wires, ACHs, journals, distributions)
Supporting account opening, transfers (ACATs), and onboarding workflows
Supporting large-scale transition projects, including account repapering, asset transfers, and data validation across high volumes of accounts
Working directly with custodians (e.g., Fidelity) to complete requests and resolve issues
Maintaining and validating client data across systems to ensure accuracy and consistency
Tracking workflows and ensuring all tasks are completed on time
Supporting private investment workflows (subscription documents, capital calls, distributions, redemptions)
Maintaining and improving CRM systems, including templates, workflows, and data integrity checks
Tracking and distributing client tax documents (e.g., 1099s, K-1s)
Coordinating with internal team members and external partners (custodians, advisors, etc.) to move work forward
Ensuring all work is completed in line with compliance and internal standards
Other duties as needed
Qualifications
Exceptional attention to detail; high degree of accuracy and consistency
Ability to work independently and manage concurrent, multi-step processes
Strong written, verbal, and organizational skills
Ability to operate effectively in a fast-paced, high-expectation environment
Comfortable working in a small team with limited structure
Strong sense of ownership and accountability
Self-starter who can execute with minimal oversight
Proficiency in Microsoft Excel and Microsoft Office
Ability to learn new systems quickly (e.g., Fidelity Wealthscape, CRM systems)
Demonstrated reliability and professionalism
Preferred:
Experience with Fidelity Wealthscape, Addepar, CRM systems (ex. Wealthbox, Advyzon, RedTail), or similar tools
Exposure to high-net-worth or ultra-high-net-worth client environments
Experience:
1–3 years of experience in a Client Services Associate or similar role within an RIA, broker-dealer, or custodian
OR
A recent graduate with a degree in finance, accounting, economics, or a related field
