The Externship Coordinator for the Certified Clinical Medical Assistant (CCMA) program plays a critical role in supporting students through every phase of their academic and clinical journey. This position is responsible for managing the end-to-end externship process-including pre-enrollment preparation, in-program engagement, clinical placement coordination, and externship completion tracking. The coordinator ensures students meet all compliance and credentialing requirements, collaborates with external healthcare partners to secure quality placements, and provides consistent, structured support to students to enhance readiness and performance. By maintaining strong relationships with approved externship partners and ensuring timely communication with students and the operational team, the Coordinator ensures a seamless and compliant externship experience that supports both student success and institutional standards.
Responsibilities and Duties
The externship coordinator will work closely with students in the CCMA program, throughout the entire cycle of the program. Duties include:
Pre-enrollment
Monitor Castlebranch verification process
Follow up with students as needed to ensure they have provided all required documentation in advance of formal enrollment
Notify the operations team of status changes (i.e. students approved to move forward in the payment process or moving to a different cohort).
Schedule CPR class.
During cohort Send welcome email to all enrolled students with an overview of the externship requirements and applicable deadlines.
Hold 1-hour in-person presentation/discussion during the first week of class.
Hold a 15-minute meeting with each student during each cohort to discuss externship.
Monitor the NHA trackers for students who are not on-track and email students, and clinical instructors, as needed.
Provide the CPR contractor with roster.
Ensure students submit CPR cards and any vaccine updates.
Entity collaboration Send annual email with cohort dates, expected start dates and flex start dates.
Meet virtually with entity contacts quarterly.
Send email 2 weeks prior to cohort start with timeline, headcount, request for number that can be accepted.
Send roster with pertinent details to each program during week 2 of program.
Send roster with students who want to go to that entity along with paperwork two weeks prior to end of externship.
Confirm placement locations for CPS records.
During externship Bi-weekly monitor student timesheet externship progress.
Timesheet tracker maintained by student worker.
Contact students for missing timesheets or incomplete timesheets (not appropriately signed by site supervisor).
Let the student success manager know when students have completed time sheets.
Qualifications and Skills Bachelor's Degree.
1 year of administrative staff work, preferably in an educational or healthcare setting.
Proficient in Microsoft Word, Excel, and PowerPoint.
Strong written and verbal communication skills, especially in professional email correspondence.
Highly detail-oriented with excellent organizational and time-management skills.
Ability to monitor program progress, track student compliance, and follow up on deadlines and documentation.
Comfortable presenting program information in group and individual settings.
Ability to collaborate effectively with students, staff, and external partners in a professional and respectful manner.
Preferred: Experience with externship or clinical placement coordination.
Familiarity with CCMA program structure and NHA certification requirements.
Knowledge of documentation platforms such as CastleBranch.
Basic understanding of FERPA and HIPAA guidelines.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Salary and Benefits
22.41/hr. This is a six-month contract. Contractual employees scheduled to work 30 or more hours per week may be eligible for subsidized health benefits coverage.
