Description
The Associate Director of Retail Operations & Services is responsible for managing the day-to-day operations of an assigned retail portfolio. This position serves as the primary liaison between the Landlord, Vendors, ACC Operations, and Retail Tenants, and will work in conjunction with the Retail Operations & Services team, as well as the General Managers, Area Managers, Regional Managers, and Regional Vice Presidents of each assigned property within the portfolio to ensure effective and efficient management of the assigned portfolio's retail assets. The Associate Director of Retail Operations & Services will be responsible for ensuring all retail tenants, customers, and guests are treated to a first-class management experience synonymous with American Campus Communities' Mission and Core Values.
Critical Duties:
- Oversees the entire Retail Leasing process within the assigned portfolio, or other properties as directed, to include, but not limited to: brokerage, lease negotiation(s), collaboration with outside counsel on lease documentation/negotiation(s), Letters of Intent (LOI), lease execution/enforcement, etc.
- Maintain strong working knowledge of assigned Retail Property Portfolio, the market, and the associated American Campus Community.
- Oversee general lease enforcement and documentation within the assigned portfolio, or other properties as directed, to include, but not limited to: collecting rent from retail tenants, tracking non-payment of rent and other charges, ensuring parking protocols are being followed by retail tenants and their employees, etc.
- Establish and maintain strong collaboration and communication with on-site and operational American Campus team members to include, but not limited to: the Area/General Manager, Maintenance Manager/Supervisor, Regional Manager, Regional Vice President, etc.
- Travel to Retail Properties in assigned portfolio or as directed to inspect/evaluate property conditions/needs, preventative maintenance, etc., to include, but not limited to: common areas, parking areas, vacant spaces, etc. - and identify/rectify any issues found as a result of the property visit.
- Coordinate and communicate with the larger Retail Operations & Services team to ensure that tenant, customer, and operations retail requests, concerns, issues, etc. are addressed and resolved in a timely and efficient manner.
- As directed by Retail Operations & Services leadership, assist in the oversight of the Retail Construction process within the assigned portfolio, or other properties as directed, to include, but not limited to: effectively communicate and coordinate with tenants, contractor(s), and on-site American Campus staff to ensure buildout specifications align with approved plans and construction timeline is met and/or modified/revised as needed, Tenant Improvement (TI) reimbursement, invoices, documenting before/after projects, track/maintain current Certificate of Insurance, track/maintain current Waiver of Lien, etc.
- Oversee the Annual budget of each retail property within the assigned portfolio, or other properties as directed, to include, but not limited to: collaborate with the Portfolio Management team to accurately input and track financial information in the Financial Forecasting System for retail revenue, CAM reconciliation for tenant leases, etc.

- As directed by Retail leadership team, assist in the review and properly coding of invoices in a timely manner in preparation for final approval by the Area/General Manager of the associated American Campus community.
- Receive, track, and effectively respond to customer service requests/issues in a timely manner with appropriate follow-up to ensure final resolution of the request/issue.
- Review, assist, and approve various accounting actions and reports to include, but not limited to: monthly rent up, monthly journal entries, monthly delinquency reports, quarterly bad debt, and quarterly lease review.
- Collaborate with the larger Retail Operations & Services team and other departments as necessary to evaluate, update, communicate, and maintain retail policies and procedures for the organization.
- Support Retail Operations & Services Team collaboration and support Acquisitions, Development, Asset Management, and other corporate departments as necessary on retail market analysis, rental rate projections, tenant improvements, lease review, preventative maintenance, etc., as needed and/or directed.
- May assist in identifying pipeline and as necessary/needed participate in the interview and hiring process of local brokers.
- Assist as needed with appropriate incident report documentation.
- As needed and/or directed, collaborate with on-site and operational American Campus team members to address preventative maintenance items for assigned Retail Property Portfolio and/or other retail properties as directed.
- Lead special projects for the Retail Operations & Services team as needed, and/or directed.

Education/Experience:
- Bachelor's degree, 3-5 years' experience in retail property management, and/or an equivalent combination of education & experience.
Certificates/Licenses: N/A
Knowledge/Skills/Abilities: Knowledge of:
- Retail real estate principles.
- Basic financial analysis (IRR, payback period, etc.).
- General construction principles.
- Facility maintenance practices.
- Property management accounting standards and systems.
- Retail leasing principles.
- Experience in property management software (MRI preferred).
