Administrative Executive Assistant

We are seeking an Administrative Executive Assistant to join our team! You will provide high-level administrative support for an Executive at our company.
Responsibilities:
Handle administrative needs of Executive
Arrange conference calls and meetings
Plan work-related travel details
Receive visitors
Train and supervise lower-level clerical staff
Maintain and order supplies
Proactive calendar management including travel arrangements and scheduling client meetings for CPA
Track mileage to client site for CPA
Direct calls and respond to client correspondence and inquiries
Check voicemail and print call log daily
Develop and maintain workflow database using computer software systems and manual filing systems to help ensure timely completion of client requests
Coordinate receipt of monthly accounting information from accounting clients to ensure timely completion of financial statements
Data entry into QuickBooks for accounting clients
Complete individual income tax returns
Perform general administrative duties including but not limited to the following:
photocopy, fax, scan, mail and filing client documents
complete and update client engagement letters
prepare print, assemble and package financial reports and tax returns for delivery to client
Organize and maintain cleanliness of common work areas and break room
Order and maintain adequate office supply levels
Process and log payments for all client services including following up on accounts receivable
​ Qualifications:
Associate’s or Bachelor’s degree Business Administration plus
Previous experience as an executive secretary, administrative assistant, or in other related fields
Three to five years of experience in administrative support with an accounting or law firm
Detail oriented with excellent analytic and problem solving skills
Ability to prioritize and multitask
Strong attention to detail
Excellent organizational skills
Dependable and punctual
Must possess excellent written and oral communication skills
Ability to establish and build rapport with clients
Self- motivated, has the ability to multi-task and ability to work in a dynamic fast paced environment
Strong computer skills spreadsheet and word processing, PDF Files
Ability to work under pressure and meet critical deadlines
Willingness to work flexible schedule during “tax “season
