We are seeking a friendly, organized, and compassionate Administrative Assistant to support our vibrant children's therapy center. In this front-desk role, you'll serve as the first point of contact for families, helping to create a welcoming and supportive environment. This position functions similarly to a medical receptionist, with responsibilities including scheduling appointments, managing patient records, coordinating with therapists, and ensuring smooth day-to-day operations across our two locations.

Responsibilities:

  • Sorts, distributes, prioritizes and composes routine correspondence following established procedures not requiring management review.
  • Performs routine clerical functions, such as copying, scanning, faxing, sorting, filing, and typing.
  • Sets up and maintains varied office files, logs, and records office activities in Word or Excel format.
  • Answers, screens, and routes incoming calls and messages from patients and coworkers.
  • Greets, screens, and directs visitors to appropriate staff member.
  • Registers patients into registration system, collects co-pays and patient signatures as needed.
  • Completes new patient intake process and arrives/checks in patients for their appointments.

Preferred Qualifications: Experience working in a medical office as well as experience processing insurance authorizations.

Schedule/Travel:

We offer flexible scheduling with the option of either 6-hour or 8-hour shifts, depending on the candidate's preference and availability.

  • 6-hour shifts: Monday through Thursday
  • 8-hour shifts: Monday, Tuesday, and Thursday
  • Shift hours: Between 8:30 AM and 7:00 PM

Travel between our two office locations in McMurray and Washington, PA is required.

Qualifications:

  • High School diploma or equivalent.
  • Up to one year administrative experience preferred.
  • Working knowledge of word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Ability to use applicable MS Suite products.
  • Knowledge of business processes and procedures.
  • Ability to use basic reasoning skills.

Licensure, Certifications, and Clearances:

  • Act 31 Child Abuse Reporting with renewal
  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
