Primary Purpose:
Responsible for the general office clerical duties for the Choice Partners (CP) division; supporting the CP Senior Director with administrative duties, and helping with the program's core services.
Qualifications:
Education/Certification: High School diploma or GED certificate Associate Degree preferred, or equivalent work experience Special Knowledge/Skills: Ability to effectively utilize computers and software including Microsoft Office and other software required by Division Ability to communicate effectively (verbal and written) using proper English grammar Ability to organize, prioritize and meet established deadlines, and handle multiple tasks Ability to maintain accurate and auditable records Experience: Four years in related job experience Experience with purchasing and/or business administration preferred Major Responsibilities and Duties: Screen and direct incoming calls to the toll-free number, correspondence, and visitors. Report staff attendance to Director on a daily basis with a sign in sheet. Maintain stock of general office supplies for division as directed. Maintain a readily accessible stock of marketing materials for division and field representatives. Revise and maintain electronic files of current marketing flyers. Communicate CP information to members and vendors. Prepare conference, workshop and training packets. Coordinate with CP team in planning, registration, and follow-up for conferences, seminars, trade shows, and training. Prepare all vendor and member related announcements and event invitations via electronic options. Service as point of contact with the Marketing and Client Engagement division for publications of newsletter, special event flyer or postcards and magnet mail. Maintain a positive attitude and a neat and professional appearance that exemplifies confidence and professionalism. Maintain confidentiality. Maintain excellent public relations with all parties. Be familiar with and assist Assistant Directors and Client Services Manager with duties, as assigned. Maintain monthly updates for CP website and printed copies of new interlocal agreements, awarded contract list, and cooperative membership list as directed. Maintain and reconcile travel arrangements and reimbursements, Request to Attend, Travel Reimbursement, monthly PCard reports for both division expenses as well as the expenses of the Senior Director. Assist with meeting and event logistics including booking meeting spaces, ordering food, creating signage for events, and maintaining sign in sheets. Draft confidential correspondence, edit documents, and take minutes of meetings. Maintain confidentiality of records and meetings. Handle facilities-related and Amazon Business requests. Perform other duties as assigned.
