The Hospice Community Administrative Assistant is responsible for providing administrative support for the management and Hospice Community clinical teams to ensure day-to-day program activities operate in an efficient, consistent and productive manner.
Essential Functions
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions, including but not limited to the following. Supports Hospice management team by performing administrative tasks, related to hospice community, including:
Manages GroupWise calendars; Preparing documents and memos.
Acts as an intermediary between Hospice Community staff and management by serving as a resource for non-clinical questions from staff.
Contacts staff on behalf of management as needed/requested.
Follows up with staff on any outstanding required Relias trainings.
Maintains call out trackers for community hospice staff.
Supports the Hospice Community Team by performing administrative tasks, including:
Scheduling staff meetings, creating agendas, setting up/taking down room, recording minutes as requested. Setting up GoToMeetings.
Preparing documents for signature, faxing or scanning documents, etc.
Scanning paper consents, LOC forms, signed revocations to Team Assistants and/or Medical Records.
Sending E-kit RX forms to hospice provider for signature and faxing signed script to pharmacy according to process.
Updates on call nurse and provider calendars per management direction. Updates answering service website with on call schedule.
Monitors Granite VNA Supply email inbox and orders community patient supplies and trunk bin refills.
Runs reports as needed for hospice managers and the community team.
Maintains community related forms and admission packets.
Prepares bereavement mailings and Primary Caregiver Condolence Cards.
Other Job Functions Enters weekly timesheet accurately and timely into system according to agency standards.
Adheres to work schedule and attendance according to agency standard.
Adheres to Agency's personal cell phone, computer and telecommunications use policy.
Leads subordinates by example by being prompt, efficient and with minimal absences; demonstrates professional behavior at all times.
Assumes other administrative support functions and responsibilities and duties as requested.
Requirements
Associates degree or equivalent work experience in Healthcare Administration or Business
Excellent computer and clerical skills
Excellent customer service, organizational, time management and communication skills required
Previous healthcare administrative support experience preferred
This is a part time job Saturday/Sunday - Friday 8 a.m. - 4:30 p.m.
