Job Summary:
Under general supervision, will support the Executive Director and coordinate administrative functions for the executive staff of multiple state agencies. This role requires exceptional organizational, leadership, and communicationskillstoprovidehigh-levelsupport, and ensureoperationalefficiency. The Administrative Assistant will also act as a central point for aligning executive staff schedules, priorities, and workflows to support organizational goals effectively.
Job Responsibilities:
1. Executive Director Support:
·ManagetheExecutiveDirector’scalendar, schedulingappointments, meetings, and travel arrangements with a focus on priority alignment and efficiency.
·Assembleandorganizematerialsforexecutive-levelmeetings,includingagendas, presentations, reports, and follow-up correspondence.
·ActasthefirstpointofcontactfortheExecutiveDirector.Screenandrespondto communicationsonbehalfoftheExecutiveDirector,ensuringtimelyandaccurate responsestointernalandexternalstakeholders.
·Trackand manage administrative-related actionitems, ensuringdeadlinesaremet and tasksare completed effectively.
·Handlesensitiveandconfidentialinformationwiththeutmost professionalismand discretion.
·Serve asa liaisonfor externalcontacts, including Board members, government officials, community leaders, and partner organizations.
2.AdministrativeOperations:
·Comply with cross-agency administrative functions, including document management, compliance tracking, and process improvement efforts.
·Implement and contribute to processestoimproveadministrativeefficiencyandensure consistency across departments.
·Coordinatethelogisticsoflarge-scaleinitiatives,interagency and agency-widemeetings,ensuringallaspectsrunsmoothly.
3.TroubleshootingITSystemsandSupport:
·LiaisewithITsupportteamstoescalateandresolvecomplex technicalproblems.
·Maintainandupdateofficetechnologysystems,ensuringallequipmentis functional and up to date.

Minimum Qualifications:
·Associate’s degree.
·5+yearsofexperienceinanadministrativeassistantorsimilarhigh-leveladministrative role, with at least 2 years supporting multiple senior leaders.
·Provenability tohandleconfidentialandsensitiveinformationwithprofessionalism.
·Strong organizationalandmultitaskingskillswiththeabilitytomanagecomplex schedules and competing priorities.
·Excellentwrittenandverbalcommunicationskills,withexperiencepreparing professional correspondence and presentations.
·AdvancedproficiencyinMicrosoftOfficeSuite(Word,Excel, PowerPoint,Outlook).
·ProficiencyintroubleshootingcommonITchallengesandfamiliaritywithplatforms such as Microsoft Office Suite, video conferencing tools (e.g., Zoom, Teams), and networkaccess.

Preferred Qualifications:
·Bachelor’s degree in Business Administration, Communications, Public Administration, or a related field, or equivalent work experience.
·Experienceingovernment,publicadministration,ornon-profitorganizations.
·Familiaritywithstateagencyoperationsandadministrativeprotocols.

Bachelor's degree from an accredited college or university in a related field AND Five years of experience managing professional level staff OR Nine years of experience AND Five years of management experience at the level equivalent to area of assignment OR Five years of experience at the lower level Sr Mgr, Business Ops (GSM012). Note: An equivalent combination of education and job specific experience that provided the knowledge, experience and competencies required to successfully perform the job at the level listed may be substituted on a year-over-year basis.
